Responsibilities
- Greet visitors, clients, and vendors warmly, ensuring a positive first impression.
- Answer multi-line phone systems promptly and professionally, directing calls accurately.
- Manage appointment scheduling and calendar coordination using various digital tools.
- Handle data entry, filing, and document proofreading to maintain organized records.
- Assist with office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software.
- Support administrative duties including typing correspondence, managing office emails, and supporting customer service inquiries.
- Maintain a clean and organized front desk area while adhering to office policies on confidentiality and professionalism.
Qualifications
- Must have at least 1 year hotel experience
- Proven experience in office administration, clerical work, or as a receptionist in a fast-paced environment.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Excellent organizational skills with the ability to multitask efficiently and prioritize responsibilities effectively.
- Exceptional phone etiquette skills with experience managing multi-line phone systems.
- Bilingual abilities are highly desirable to serve diverse client needs.
- Familiarity with Property management systems software Opera preffered.
