Operational Excellence (OE) at Hospital for Special Surgery (HSS) is charged with eliminating waste and redesigning operations to enable continued success and optimize the patient experience. The OE team thinks beyond what’s expected, from simplifying patient registration and decreasing operating room turnover time to streamlining the discharge process. The OE department is highly visible, collaborating closely with the HSS executive team and other clinical and business leaders throughout the organization. As a part of this team, you’ll be an essential resource, helping our hospital stay on top of our game, so we can ensure our patients do the same.
Job Summary:
The Director of Workforce Planning & Capacity Performance Improvement serves an important leadership role within the Operational Excellence (OE) program at HSS, both driving large-scale, system-wide business transformation initiatives across the perioperative patient care journey and optimizing workforce planning. The Director will play a key role in driving organizational strategy and helping HSS establish and share best practices across existing and new sites. Developing and maintaining strong relationships with physicians, their offices and front-line leaders will be an essential part of the role. To this end, s/he possesses a unique blend of expertise in strategic planning, business acumen, and process improvement.
The Director will own and drive projects to completion with specific tasks including but not limited to: development and presentation of leadership-ready materials, design of change management and communication plans, facilitation of discussions with multiple stakeholders, design and execution of analytics, and building complex models to inform decision-making and performance improvement. To this end, the Director will leverage analytical, strategic planning, project management, change management, and communication skills to ensure project success.
The Director will report to the Assistant Vice President of Operational Excellence, playing a critical role as the subject matter expert of Capacity Performance and Workforce Planning for the team.
Key Responsibilities:
- Engage in collaborative partnerships with operational leaders to strategically plan and optimize the variable frontline workforce, ensuring optimal resource allocation, productivity, and operational efficiency
- Design and implement the vision to transform workforce planning with an automated workforce tool to assist with day-of staffing, staff schedule, recruitment needs and productivity tracking
- Lead transformational projects to improve patient’s perioperative care coordination journey throughout HSS
- Collaborate with OR scheduling, service lines, nursing, pre-surgical screening and physician practice to optimize existing patient workflows and implement efficiency improvement opportunities
- Create and maintain a highly effective and efficient infrastructure through the use of best practices and a continuous improvement mindset
- Offer executive project management support to the Surgeon-in-Chief (SIC) and Chief Nurse Executive (CNE) by taking the lead in facilitating perioperative governance meetings, such as HSS’ Operating Room Leadership Council (ORLC) and Operating Room Executive Council (OREC), ensuring effective communication, collaboration, and decision-making within the perioperative environment
Qualifications
Education- Required:
- Bachelor’s degree (BA)
- Master’s degree in Engineering, Healthcare Administration, Business Management or related field
Skills & Experience – Required:
- 5 years of related experience in healthcare
- Experience in healthcare or hospital operations consulting
- Excellent verbal and written communication skills; effectively communicates with various departments to disseminate and receive information as requested
- Experience designing impactful change management and communication programs
- Experience leading and facilitating meetings with effective outcomes
- Working knowledge of various software and spreadsheet applications used in process mapping, process design, and work-flow management (e.g., MS Excel, MS PowerPoint)
- Ability to manage multiple projects with tight deadlines in an environment of constant change with a continuous improvement mindset
- Strong problem-solving skills
- High emotional intelligence and ability to collaborate with both clinical and administrative stakeholders
- Strong project management skills
- Possesses an excitement for change
- Ability to acquire skills and knowledge effectively and efficiently
- Ability to influence people, build relationships and collaborate
- Demonstrated ability to produce high-quality deliverables in a consistent manner
- Familiarity with Epic EMR
- Knowledge of process improvement methodologies
Skills & Experience – Preferred
- Experience in designing and implementing complex analyses, tailoring communication of findings to stakeholders
- Experience in coaching junior team members through complex tasks, improving the quality of their deliverables, and being a trusted mentor to junior team members
- Experience working in healthcare systems and hospitals, deep knowledge in hospital operations
