What are the responsibilities and job description for the Donation Processing Specialist position at Hospice of Michigan?
Job Summary: The Donation Processing Specialist oversees the end-to-end gift processing pipeline from donation intake to gift reporting, ensuring record, gift and financial accuracy for NorthStar Care Community Foundation.
Essential Functions:
- Regularly involved with all gift processing aspects, including but not limited to the following: gift entry, acknowledgment receipting, and gift reporting.
- Assists with implementing control measures for donation depositing.
- Maintains accurate donor files.
- Assists with maintaining CRM policies and procedures and help implement updates when necessary.
- Proficient in CRM databases to effectively maximize current donor database for NorthStar Foundation needs.
- Prepares month-end fundraising report preparation and serves as a liaison with NorthStar Finance team to ensure accurate and timely reconciliation.
- Assists with annual renewal solicitation registration forms and extensions.
- Assists with monthly, quarterly and annual Foundation expense reconciliation.
- Prepares Foundation mailing lists and reports as assigned.
- Completes and analyzes reports as assigned.
- Provides CRM support to foundation staff as needed.
- Assists in special event activity as needed.
- Assists with donor inquiries and complaints and responds to all inquiries in professional manner.
- Adjusts to changes in workload and schedules based on changing priorities.
- Participates in internal and external education, training, in-services and other activities to promote personal and professional growth.
- Adheres to all local, state and federal laws regarding donations and follows all NorthStar Community standards of donor integrity.
- Adheres to organizational Code of Conduct, policies, procedures, protocols and processes and all regulatory and legal requirements.
- Adheres to the NorthStar standards to care for every person, every time, 100% of the time.
Qualifications:
- Bachelor’s Degree preferred.
- Two (2) to four (4) years of database management software experience required.
- Raiser’s Edge database experience preferred.
- Previous customer relations experience preferred.
- Must possess sound judgment; effective organizational, prioritization and follow-through skills; attention to detail; accuracy; dependability; tact; and ability to maintain confidential information.
- Working understanding of philanthropy and finance preferred.
- Computer skills to include adequate typing level and working knowledge of Excel.

- Experience creating, organizing, completing projects; working with vendors.
- Extensive experience with Microsoft applications and Raisers Edge or other fundraising software experience required.
- Must be able to read, write and speak English and be able to effectively communicate orally and in writing in internal and external relationships for all essential job functions.
- The physical and sensory demands of the position include: vision, effective speech and hearing for extensive telephone contact; repetitive motion; driving or riding in a motor vehicle; standing, sitting, walking, bending, reaching, and stretching; and lifting up to twenty-five (25) pounds unassisted.
