Position Summary
The Certified Ophthalmic Assistant supports ophthalmologists and the eye care team by performing preliminary diagnostic testing, facilitating examinations and minor procedures, assisting patients before and after care, and managing related administrative tasks. This role ensures clinical efficiency, an excellent patient experience, and accurate documentation in a busy ophthalmology setting.
Key Responsibilities
Clinical / Patient Care
Greet and prepare patients for ophthalmic examinations; obtain relevant medical and ocular history
Perform standard ophthalmic measurements and tests, including:
Visual acuity (distance, near, refraction)
Intraocular pressure / tonometry
Pupil function / pupillometry
Extraocular motility testing
Color vision and screening visual fields
Lensometry, keratometry, pachymetry
Autorefraction / wavefront analysis
Administer ophthalmic drops or medications as directed (e.g., dilation, anesthetics)
Assist the ophthalmologist during slit-lamp exams and minor in-office procedures
Clean, calibrate, and maintain ophthalmic instruments and equipment
Educate patients on eye health, post-operative care, contact lens use, and medications
Ensure proper sterilization/disinfection of ophthalmic tools
Collect and document diagnostic images or scans (as applicable)
Triage patient concerns and monitor for adverse reactions
Administrative / Documentation
Accurately enter patient history, test results, and findings into the EMR
Support appointment flow, patient throughput, and communicate schedule updates
Assist with insurance verification, preauthorization, and billing documentation
Order, track, and maintain inventory of ophthalmic supplies
Coordinate referrals, follow-ups, and patient reminders
Maintain compliance with HIPAA, clinic policies, and applicable regulations
Quality / Safety
Follow infection control and universal precaution standards
Participate in quality improvement initiatives and workflow optimization
Report equipment malfunctions or safety concerns promptly
Assist with other related tasks as needed to support clinic operations
Qualifications
Education / Certifications
High school diploma or equivalent required
Completion of an accredited ophthalmic assistant/technology program preferred
Certified Ophthalmic Assistant (COA) through JCAHPO (or equivalent) required within one year of hire
BLS (Basic Life Support) certification preferred
Commitment to ongoing continuing education to maintain certification
Experience
1–2 years of ophthalmology or eye care experience preferred
Hands-on experience with ophthalmic diagnostic instrumentation and patient management
Experience with diverse patient populations (pediatric, geriatric, etc.) is a plus
Skills & Abilities
Strong understanding of ocular anatomy, physiology, and common ophthalmic conditions
Proficiency with ophthalmic diagnostic instruments and imaging devices
Excellent manual dexterity and hand-eye coordination
Detail-oriented with a high standard for accuracy and documentation
Warm, patient-focused communication style and strong interpersonal skills
Ability to thrive in a dynamic, high-volume clinical environment
Strong multitasking, prioritization, and workflow management skills
Comfortable using EMR systems, office software, and medical terminology
Maintains confidentiality, professionalism, and ethical standards at all times
