Job Overview
We are seeking a dynamic and detail-oriented Administrative / Leasing Assistant to join our property management team in this dual role. In this vital role, you will serve as the first point of contact for prospective tenants, current residents, vendors, and visitors for our large Lancaster based storage facility and a 130 unit Apartment Communitiy, ensuring smooth communication and efficient operations. (This position has a rotating schedule between the two facilities. Your expertise will help facilitate leasing processes, maintain compliance with housing regulations and Fair Housing laws while providing exceptional customer service. Duties
- Manage leasing activities by preparing and processing lease agreements, contracts, and related documentation with precision and attention to detail.
- Assist prospective tenants through the leasing process, including conducting property tours,
- Maintain accurate data entry within property management thru our MRI and SiteLink Software Platforms.
- Coordinate tenant applications and screening processes in accordance with Fair Housing regulations and landlord-tenant law.
- Support property maintenance requests and following up to ensure timely resolution.
- Handle administrative tasks including filing, document management, and record keeping for legal documents, contracts, and compliance reports.
- Provide exceptional customer service over the phone and in person by addressing inquiries professionally, managing conflicts effectively, and fostering positive relationships with residents and vendors.
- Assist with rent collection, late notices, and lease renewals.
- Collaborate with property management teams on facilities management activities to ensure a safe, well-maintained environment for all residents and tenants.
- Maintain confidentiality of sensitive information.
Skills
- Proficiency in property management software such as MRI, Yardi, OneSite, or similar systems for data entry and reporting purposes.
- Excellent customer service skills with professional phone etiquette and conflict management abilities.
- Knowledge of property management operations including property leasing, maintenance coordination, facilities management, and administrative procedures.
- Exceptional organizational skills for filing, record keeping, data entry, and managing multiple priorities efficiently.
- Effective communication skills for liaising with residents, tenants, vendors, contractors, and internal teams.
- Sales-oriented mindset with the ability to upsell units or services that enhance resident satisfaction.

Pay: $19.00 - $21.00 per hour
