Patient Services & Customer Care
- Serve as the primary point of contact for patients visiting both locations (hormone therapy and gynecology offices)
- Greet patients warmly with a friendly, professional demeanor
- Provide excellent customer service and ensure a positive patient experience
- Check patients in and out efficiently and accurately
- Notify providers promptly of patient arrivals
- Ensure waiting areas at both locations are clean, organized, and presentable at all times
Administrative & Scheduling
- Maintain and manage the AdvancedMD scheduler with accuracy for both practices
- Monitor daily patient flow and communicate schedule updates to providers
- Schedule, confirm, and reschedule patient appointments across both locations
- Create new patient profiles and collect demographic and insurance information
- Upload documentation and information to patient chart files
- Maintain accurate patient records and accounts
- Process requests for medical records in compliance with HIPAA regulations
Insurance & Billing
- Collect copayments and outstanding balances at time of service
- Prepare digital superbills and submit to Medusind for billing processing
- Maintain accurate financial records and ensure proper payment processing
Specialized Duties
- Demonstrate basic knowledge of supplements and hormone therapy products
- Process and fulfill supplement orders accurately
- Contact patients to notify them when hormone orders are ready for pickup
- Assist patients with product questions and recommendations as appropriate
Communication & Organization
- Respond to patient emails and phone calls promptly and professionally
- Handle faxing and other communication tasks efficiently
- Coordinate between both office locations as needed
QUALIFICATIONS
Required:
- High school diploma or equivalent (required)
- Minimum 1-2 years of experience in a medical office or healthcare setting
- Proficiency with electronic health record (EHR) systems; AdvancedMD experience strongly preferred
- Knowledge of medical terminology and insurance verification processes
- Strong computer skills, including Microsoft Office Suite
- Excellent verbal and written communication skills
- Outstanding customer service and interpersonal skills
- Strong organizational skills with exceptional attention to detail
- Ability to multitask and manage competing priorities in a fast-paced environment
