We are seeking a highly organized and detail-driven
Construction Administratorto support the start-to-finish administrative process of each home we build. This role acts as the central hub between the office and the field-ensuring permits, documentation, coordination, and communication flow smoothly through every phase of construction. If you excel at managing information, keeping projects on track, and solving problems before they escalate, this role is for you.
The
Construction Administratoris responsible for overseeing all administrative tasks tied to new construction projects, from permitting and plot plans to utility coordination, inspections, documentation, and final stages before closing. Working closely with Superintendents, the Client Liaison, the Warranty Coordinator, and local authorities, this person ensures accuracy, compliance, and consistency throughout the entire build process. This is a fast-paced role that requires precision, adaptability, strong communication, and the ability to manage multiple priorities simultaneously.
Key Responsibilities
Ensure the preconstruction is done and on time and the job starts on time.
Monitor construction schedules in the project management platform, updating as needed and flagging discrepancies or delays.
Oversee administrative tasks from permitting through closing across assigned construction projects.
Request, track, and review plot plans; secure timely approvals with the Production Manager.
Apply for and track building permits and all required regulatory approvals.
Coordinate and track inspections in partnership with field Superintendents, ensuring compliance with local regulations and company standards.
Manage activation, tracking, and cancellation of utilities and meter installations.
Maintain accurate, organized, and complete electronic project files throughout the construction lifecycle.
Serve as the primary liaison between the office, field teams, and external agencies.
Communicate professionally with vendors, municipalities, inspectors, and internal stakeholders.
Partner with the Client Liaison, Superintendents, and Warranty Coordinator to coordinate final walks and milestone activities as homes near completion.
Anticipate potential scheduling conflicts or bottlenecks and proactively offer solutions.
Uphold company standards for accuracy, professionalism, and compliance across all documentation and communication.
Continuously identify opportunities to enhance workflows, efficiency, and system consistency.
Troubleshoot and resolve administrative or procedural issues before they affect field schedules or closing timelines.
Track and communicate key milestones to ensure deadlines are met without last-minute surprises.
Qualifications
3 or more years of experience in construction administration, residential homebuilding, permitting, or a related field.
Exceptional organizational and time-management skills with the ability to manage multiple projects simultaneously.
Strong attention to detail, able to catch small errors before they cause issues.
Excellent written and verbal communication skills across departments and with outside agencies.
Proficiency in Microsoft Office and construction management systems (Buildertrend, BuildPro, or similar).
Ability to thrive in a fast-paced environment and adapt quickly when priorities shift.

Pay & Benefits
Full-time (40 hours per week), W-2.
Pay: $18.00 to $22.00 per hour
Up to 2 hours of overtime allowed weekly
30-minute lunch required
