Job Summary
We are seeking a dedicated and organized Client Coordinator to join our team. This role is essential in ensuring that our clients receive exceptional service and support throughout their engagement with us. The Client Coordinator will be responsible for managing client communications, maintaining accurate records, strong client relationships, and supporting attorneys with administrative tasks. They act as a primary point of contact for clients, manage schedules, prepare documents, and help facilitate a positive client experience. The ideal candidate will possess strong organizational skills, excellent customer service abilities, and the capacity to manage multiple tasks efficiently. This is an entry level position so experience is not required but is preferred. Training will be provided.

  • Client Communication: Handling initial inquiries, providing updates, and addressing client concerns. Also covering reception (answering phones and greeting clients) as needed.
  • Administrative Support: Managing calendars, scheduling meetings, preparing documents.
  • Case Management: Assisting with file opening and tracking initial deadlines.
  • Relationship Building: Fostering positive relationships with clients to enhance satisfaction and retention.
  • Problem Solving: Addressing client issues and escalating them when necessary.
  • Record Keeping: Maintaining accurate and up-to-date client records.

  • Communication Skills: Excellent verbal and written communication skills are essential for interacting with clients and colleagues.
  • Organizational Skills: Strong organizational and time management abilities to handle multiple tasks and deadlines.
  • Interpersonal Skills: The ability to build rapport with clients and coworkers and foster positive relationships.
  • Problem-Solving Skills: The capacity to identify and resolve client issues efficiently.
  • Legal Knowledge: A basic understanding of legal terminology and procedures is often helpful.
  • Technical Skills: Proficiency in using legal software, document management systems, and other relevant technology.

Education and Experience:

  • An associate's degree or legal assistant certification is preferred.
  • Prior experience in a legal setting or with administrative tasks a plus
  • Proficient in computer literacy, including familiarity with office software applications.
  • Excellent time management skills to handle multiple responsibilities efficiently.
  • Experience with phone systems is a plus.

Duties

  • Serve as the primary point of contact for clients, addressing inquiries and providing timely assistance.
  • Maintain organized client files and documentation to ensure easy access to information.
  • Proofread documents and communications to ensure accuracy and professionalism.
  • Utilize phone systems to manage incoming calls and facilitate communication with clients.
  • Coordinate schedules and appointments for clients, ensuring all details are accurately recorded.
  • Manage time effectively to prioritize tasks and meet deadlines.
