Job Summary
We are seeking a dynamic and detail-oriented Medical Scheduling Care Coordinator to join our healthcare team. Responsibilities
- Schedule patient appointments efficiently across multiple locations and multiple providers.
- Verify insurance coverage, perform insurance eligibility checks, and handle insurance verification processes to facilitate smooth billing and reimbursement.
- Review medical documentation for accuracy, completeness, and compliance with HIPAA regulations; ensure proper coding using CPT, ICD-9, ICD-10 codes for billing and record-keeping purposes.
- Coordinate with healthcare providers to develop and update care plans tailored to each patient's needs.
- Assist with intake procedures by collecting patient information via phone or in person while demonstrating excellent phone etiquette and customer service skills.
- Support medical administrative tasks such as appointment confirmations, follow-up scheduling, and handling multi-line phone systems to ensure efficient clinic operations.
- Accurately enter and maintain patient demographic, insurance, and scheduling data in EMR/EHR systems
- Document all patient interactions, authorizations, and communications thoroughly
- Complete required reports (daily/monthly) related to scheduling, authorizations, and productivity
- Run system reports to monitor scheduling gaps, authorization needs, and patient eligibility
- Run and manage call tracking scoring and reporting
- Assist with billing-related inquiries and charge entry as needed
- Maintain strict adherence to HIPAA and organizational policies
- Ensure accuracy and completeness of all patient and authorization documentation
- Stay current on payer requirements, regulatory standards, and internal procedures
- Collaborate with clinical, billing, management, and front office teams to support operations
- Assist with training and onboarding of new team members
- Provide feedback to improve workflows, scheduling efficiency, and authorization processes
- Participate in team meetings and case reviews as needed
- Perform additional administrative or clerical duties as assigned
Qualifications
- High school diploma or equivalent required, bachelor’s degree preferred
- Minimum of 1 year experience in:
- Medical scheduling, call center, or healthcare setting
- Insurance verification, pre-certification, or authorization processes (preferred)
- Management experience (preferred)
- Experience in a fast-paced, high-volume customer service environment
- Knowledge of medical terminology preferred
- Experience with EMR/EHR systems and scheduling platforms preferred
- Proficiency in Microsoft Office and general computer applications
- Bilingual candidates are a plus
- Experience with medical billing processes and insurance verification procedures.
- Excellent organizational skills with the ability to review documentation accurately and manage multiple priorities simultaneously.
- Exceptional communication skills with a professional phone manner; bilingual abilities are a plus to serve diverse patient populations.
- Proficient with office management software such as Microsoft Office (Word, Excel) and other health information management tools.
- Prior clinic or medical office experience preferred
- Understanding of HIPAA compliance standards to safeguard patient privacy at all times.
