Job Overview

Hopewell Psychology is a growing, locally owned mental health practice serving communities throughout the Philadelphia region. We have offices in Broomall, King of Prussia, West Chester, Exton, Glen Mills, and Center City Philadelphia.

Our team provides outpatient therapy and psychiatric services to patients using commercial insurance plans, including Independence Blue Cross, Highmark, and Aetna, as well as Medicare.

We are seeking a detail-oriented, organized, and seasoned Medical Biller to join our team. This position is responsible for managing the billing and claims process for outpatient behavioral health services, including claim submission, payment posting, denial management, insurance follow-up, and patient billing support.

The ideal candidate has experience with behavioral health or outpatient medical billing, understands commercial insurance and Medicare requirements, and is comfortable communicating with insurance companies, clinicians, patients, and coworkers.

Responsibilities

  • Prepare and submit accurate claims for outpatient therapy and psychiatric services.
  • Review clinical documentation, patient information, insurance eligibility, authorizations, CPT codes, diagnosis codes, and modifiers for accuracy.
  • Monitor claim status and follow up promptly on unpaid, rejected, or denied claims.
  • Research billing discrepancies and work with insurance companies to resolve claim issues.
  • Correct and resubmit claims when necessary.
  • Post insurance payments, adjustments, and patient payments accurately.
  • Assist with insurance verification, benefits questions, and authorization requirements.
  • Communicate with clinicians regarding missing documentation, coding questions, or other information needed to process claims.
  • Respond professionally and compassionately to patient questions regarding insurance coverage, statements, balances, and payment options.
  • Maintain detailed and accurate billing records in the electronic medical record and billing systems.
  • Stay informed about changes to payer policies, coding requirements, Medicare guidelines, and behavioral health billing regulations.
  • Protect patient confidentiality and comply with HIPAA and all applicable healthcare regulations.
  • Support the practice in improving collections, reducing denials, and maintaining a healthy revenue cycle.

Qualifications

  • Previous medical billing experience, preferably in an outpatient behavioral health, psychiatry, psychology, or mental health setting.
  • Knowledge of CPT and ICD-10 coding.
  • Experience submitting and following up on commercial insurance and Medicare claims.
  • Understanding of claim rejections, denials, appeals, payment posting, and accounts receivable follow-up.
  • Familiarity with electronic medical record and practice-management systems; experience with Valant EMR is a plus.
  • Proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
  • Strong attention to detail and commitment to accuracy.
  • Excellent organizational, time-management, and problem-solving skills.
  • Clear and professional written and verbal communication skills.
  • Ability to work both independently and collaboratively.
  • A respectful and patient-centered approach when handling sensitive financial matters.
