DAYS: 215-day calendar HOURS: 7.5 hour day
HIRING SPECIFICATIONS:
Required:
- High school diploma, Hi SET or G.E.D.
- Previous secretarial/clerical work or equivalent training
- Computer skills
- Skills in the operation of office equipment.
- Competency working in a culturally diverse environment or the willingness to acquire these skills.
Desired:
- Strong command of the English language
- Ability to deal with more than one person/task at a time
- Ability to handle questions/complaints with tact
- Attention to detail
BASIC FUNCTION: Keep records of attendance on the total enrollment; drops, transfers, entries in computer.
ESSENTIAL FUNCTIONS:
- Runs and saves Daily Attendance Report from day before to Daily Attendance folder on server. Prints two hard copies. One for teachers; one for attendance associate.
- Records daily absences, tardies and suspensions to Infinite Campus. These absences are generated from phone calls from parents, emails from teachers and attendance cards from teachers.
- Responds to parent and guardian phone calls when the attendance associate has left messages regarding student attendance.
- Answers phone in attendance office and directs to appropriate person.
- Manages reception desk for VP and SIL.
- Issues passes to students to enter and exit the building.
- Asks students why they are late.
- Verify if needed with home school, note or phone call.
- Makes sure student signs in.
- Enters time and reason for tardiness in computer along with reason for tardiness.
- Issues pass to student or sends student to VP if too many tardies or absences.
- Has visitors sign in, contact teacher or person they are visiting and issue pass.
- Supervises student workers.
- Performs clerical tasks as per Principal, Vice Principal, and Dean of Students.
- Looks up information in Parking Database when requested by Campus Monitor or School Resource Officer.
- Faxes suspension letters to home school.
- Mails suspension letters to parent/guardian.
- Inputs new student records into Infinite Campus discipline database.
- Assigns lockers to teachers to assign to students. Keep database and hard copies of lockers assigned by the teachers.
- Delivers messages to students in class as called by parents.
- Documents paper excuses from students regarding absences.
- Keeps track of all home school activities for students.
- Faxes attendance reports to home schools each morning for previous days.
- Responds to questions from teachers regarding attendance, activities at schools or anything else they need.
- Responds to students with problems sent to the office.
- Types bus assignments for all buses to and from Central Campus per Campus Monitor.
- Supervises students who are in the office waiting to see Vice Principal or Dean of Students.
- Responds to questions, problems, and requests over the walkie-talkie.
- Researches questions regarding home school activities.
- Responds to phone calls from VP or attendance office of other schools regarding attendance of specific students.
- Calls home schools to notify buses are late leaving Central Campus.
- Notifies office to announce buses are late and please admit students without a pass.
- Signs and documents in computer field trip forms for Central Campus and home schools.
- Enters address changes of students in Infinite Campus.
- Looks up any questionable absences in Infinite Campus or call home school.
- Perform other duties as requested by supervisor/office manager.
- Attend work on a prompt and regular basis.
- Maintain confidentiality.
- Maintain satisfactory and harmonious relationships with the public, students and other employees.
