HootOwl Legal is growing rapidly, and we're looking for a driven, organized, and people-oriented professional to join our Fayetteville team as an Office Manager / Marketing Coordinator!
This dual-purpose role is central to how our office runs and how our brand grows in the community. You'll oversee the day-to-day operations of our Fayetteville office, including coordination and confirmation of all client appointments, while also leading grassroots marketing efforts and expanding our presence across marketing channels. Office Management & Client Communication
- Coordinate and confirm all client appointments, consultations, meetings, and signings in the Fayetteville office
- Manage day-to-day office operations and maintain an organized, welcoming environment
- Serve as a primary point of contact for clients and team members (answer phones, respond to emails, and greet clients upon arrival)
- Prepare meeting materials and ensure clients know what to bring and expect before their appointments
- Call clients to remind them of upcoming meetings and follow-up appointments
Administrative & Team Support
- Support attorneys and staff with administrative tasks, document organization, and deadline tracking
- Draft basic correspondence and keep files and workflows organized
- Scan, copy, file, and maintain documents in the firm's electronic systems
- Assemble estate plan binders and other client deliverables
Marketing & Brand Growth
- Increase HootOwl's presence across marketing channels including social media, email campaigns, and community outreach
- Lead grassroots marketing efforts to build brand awareness in the Fayetteville area and surrounding communities
- Coordinate content creation, newsletters, and promotional communications
- Run Meta ads for workshops and general lead generation
- Strengthen the firm's Google presence with accurate office listings and a refined digital marketing approach
- Assist with keeping the firm's messaging, materials, and brand consistent and current
Workshops & Community Engagement
- Coordinate and attend educational workshops, including logistics, promotion, and on-site support
- Be available approximately once per week for after-hours community workshops or educational events
- Be open to occasional monthly travel to surrounding metro areas for workshops, events, or firm-related marketing efforts
- Track inquiries, marketing activity, and follow-up tasks related to events
Ongoing Client Care
- Send gifts, flowers, and other touches on specific client dates or occasions
- Maintain accurate, up-to-date client notes so anyone on the team can step in if needed
- Collect feedback and online reviews to measure satisfaction and identify areas for improvement
- Identify ways to improve office systems, client experience, and marketing execution
