Administrative Assistant – Youth Sports Operations

About the Position
RizzBall, Hoop Dreams Nation, and the Colorado Alliance of Basketball Officials are seeking a highly organized, responsive, and resourceful Administrative Assistant to support our growing youth sports organizations.
Although each organization serves a different part of the youth sports community, they operate as one team. This position will provide administrative and operational support across youth basketball, youth baseball, tournament and league operations, and the scheduling of basketball referees and baseball umpires.
The ideal candidate thrives in a fast-paced environment, can manage multiple priorities at once, communicates quickly and professionally, and enjoys solving problems. This is not a traditional slow-paced office position. Our work revolves around youth sports leagues, tournaments, officials, coaches, families, and game-day deadlines.
A strong preference will be given to candidates who have previously managed, operated, or provided administrative support for a youth sports league, tournament company, officiating organization, club, or similar program.
Primary Responsibilities
- Provide administrative support for RizzBall, Hoop Dreams Nation, and CABO.
- Assist with the scheduling and assignment of basketball referees and baseball umpires.
- Communicate with officials, coaches, teams, parents, facilities, staff members, and organizational leadership.
- Monitor email, text messages, and other communication platforms and respond promptly.
- Help manage league and tournament registrations, schedules, rosters, documents, and organizational records.
- Prepare game-day materials, staff packets, schedules, signage, equipment lists, and other event-related items.
- Maintain accurate spreadsheets, databases, calendars, contact lists, and digital files.
- Assist with staffing coordination for tournaments, leagues, and special events.
- Track deadlines, follow up on outstanding items, and help ensure that tasks are completed on time.
- Assist with invoicing, payment tracking, payroll information, or other basic administrative financial tasks as assigned.
- Help create and distribute announcements, schedules, instructions, and organizational communications.
- Learn and use league-management, scheduling, officiating, registration, and communication software.
- Identify problems, research possible solutions, and take initiative to keep operations moving.
- Provide occasional in-person support along the central I-25 corridor.
- Work additional hours on game days when available and needed.
- Perform other administrative and operational duties as the organizations continue to grow.
Required Qualifications
- Experience with or a strong connection to either youth basketball or youth baseball.
- Understanding of youth sports leagues, tournaments, teams, coaches, officials, and game-day operations.
- Strong administrative, organizational, and time-management skills.
- Ability to manage multiple projects, conversations, and deadlines simultaneously.
- Ability to work independently from home while remaining accountable and responsive.
- Excellent written and verbal communication skills.
- Ability to respond to time-sensitive communication quickly and professionally.
- Proficiency with Google Workspace, including Gmail, Google Drive, Google Docs, Google Sheets, Google Forms, and Google Calendar.
- Strong attention to detail and ability to maintain accurate information.
- Comfortable learning new technology, software, and organizational systems.
- Strong problem-solving skills and willingness to take initiative.
- Flexible availability, including occasional evenings and weekends.
- Ability to travel occasionally within the Denver, Colorado Springs, and Pueblo areas.
- Reliable internet access, computer access, and transportation for occasional in-person responsibilities.
- Professional and dependable when communicating with coaches, parents, officials, facilities, and staff.
- Must enjoy working in a fast-paced and constantly changing sports environment.
Preferred Qualifications
- Previous experience running or administering a youth sports league, tournament, officiating association, club, or athletic program.
- Experience with both youth basketball and youth baseball.
- Experience assigning or scheduling basketball referees, baseball umpires, or other sports officials.
- Familiarity with sports scheduling, tournament-management, registration, or officiating software.
- Experience supporting tournaments, leagues, camps, clinics, or other live sporting events.
- Experience coordinating staff, officials, facilities, teams, or volunteers.
- Basic bookkeeping, invoicing, payroll, or payment-tracking experience.
- Experience creating forms, spreadsheets, operational systems, or administrative processes.
Work Environment and Schedule
The majority of this position can be completed remotely from home. However, the employee must live in or near Denver, Colorado Springs, Pueblo, or another community along the central I-25 corridor.
Some responsibilities will require in-person work, such as preparing game-day materials, organizing equipment or supplies, attending planning meetings, or supporting events.
The schedule will vary depending on league and tournament needs. The right candidate must be comfortable with flexibility and understand that youth sports operations sometimes require timely responses outside of traditional weekday business hours.
Additional paid hours may be available for candidates who are interested in working at basketball or baseball events on game days.
Compensation
This position pays $23–$30 per hour, depending on experience, qualifications, youth sports knowledge, and the ability to independently manage league and officiating operations.
