Job Overview
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This vital role ensures smooth administrative workflows, exceptional customer service, and efficient office management. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a productive and welcoming workplace. As an Office Manager, you will serve as the backbone of our administrative team, supporting staff, managing office systems, and maintaining a professional atmosphere that promotes efficiency and collaboration.

Duties

  • Oversee daily office operations, including managing front desk activities and multi-line phone systems to ensure prompt and courteous communication.
  • Coordinate calendar management, scheduling appointments, meetings, and events with precision.
  • Maintain accurate records through data entry, filing, proofreading, and document management using Microsoft Office and Google Workspace tools.
  • Handle clerical tasks such as photocopying, faxing, scanning, and organizing files to support administrative functions.
  • Provide exceptional customer service by assisting visitors, answering inquiries, and managing customer support channels with professionalism and warmth.
  • Manage bookkeeping responsibilities using QuickBooks or similar accounting software to track expenses and financial records.
  • Support personal assistant duties including travel arrangements, calendar updates, and task prioritization for leadership teams.
  • Ensure office supplies are stocked and equipment is maintained; coordinate repairs or replacements as needed.
  • Uphold phone etiquette standards when handling inquiries via multi-line systems or direct calls.
  • Assist with onboarding new staff members by preparing workspace setups and providing necessary administrative support.

Skills

  • Proven experience in office management or administrative roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Excellent computer literacy with the ability to adapt to various software platforms quickly.
  • Strong typing skills combined with meticulous proofreading abilities for document accuracy.
  • Exceptional customer service skills with a friendly demeanor and professional phone etiquette.
  • Bilingual capabilities are highly desirable to effectively communicate with diverse clients and team members.
  • Knowledge of QuickBooks for bookkeeping purposes; familiarity with medical or dental receptionist duties is a plus.
  • Experience managing multi-line phone systems and front desk operations efficiently.
  • Strong time management skills to prioritize tasks effectively in a fast-paced environment.
  • Previous office experience including clerical tasks such as filing, data entry, and calendar management.
  • Personal assistant or medical receptionist experience is advantageous for supporting executive needs.
