Job Summary
Honor Aesthetics & Wellness is looking for a warm, hospitable and highly organized Client Experience Coordinator to join our team and serve as a key part of the client journey from the very first interaction.
At Honor, we believe in creating long-term relationships with our clients—not simply filling appointments. The Client Experience Coordinator is responsible for creating an elevated, welcoming experience at every touchpoint, while also supporting the day-to-day operations of our practice.
This role is ideal for someone who genuinely enjoys people, thrives in a detail-oriented environment, and takes pride in providing exceptional service. You will be the first and last point of contact for many of our clients, making your presence, communication, and attention to detail an important part of the Honor experience.
Responsibilities
Client Experience
- Welcome every client warmly and professionally while creating an elevated, personalized experience
- Serve as a friendly and knowledgeable first point of contact for clients in person, over the phone, and through text/messaging platforms
- Build genuine relationships with clients and create a sense of familiarity and trust
- Anticipate client needs and proactively look for ways to make their experience exceptional
- Assist clients with check-in, check-out, scheduling, rescheduling, and general questions
- Maintain a polished, organized, and welcoming front desk and client-facing environment
- Handle client concerns with professionalism, empathy, and sound judgment, escalating when appropriate
Scheduling & Communication
- Manage appointments and provider schedules accurately and efficiently
- Respond to phone calls, texts, inquiries, and other client communications in a timely and professional manner
- Assist with new client inquiries and guide prospective clients through the process of booking with the appropriate provider or service
- Conduct appointment confirmations, follow-ups, and other client outreach as needed
- Maintain accurate client information and documentation within practice management systems
- Support client retention through thoughtful follow-up and exceptional communication
Practice Operations
- Process payments, memberships, packages, and retail purchases accurately
- Assist with daily opening and closing procedures
- Support inventory organization and communicate supply needs to management
- Help maintain cleanliness, organization, and overall presentation of the practice
- Assist with events, promotions, team initiatives, and other practice projects
- Work closely with providers and management to ensure the day runs smoothly
- Maintain confidentiality and professionalism when handling client information
Team & Culture
- Contribute positively to a collaborative, supportive team environment
- Communicate clearly and proactively with providers and management
- Be willing to jump in and help wherever needed
- Represent Honor’s standards, values, and brand in every client interaction
- Take initiative rather than waiting to be asked
- Continuously look for ways to improve the client experience and practice operations
Requirements
- Previous experience in customer service, hospitality, healthcare, aesthetics, beauty, or a similar client-facing environment is preferred
- Exceptional communication and interpersonal skills
- Warm, personable, and confident personality
- Highly organized with strong attention to detail
- Ability to multitask and remain composed in a fast-paced environment
- Professional appearance and demeanor
- Strong computer and technology skills; comfortable learning and navigating multiple software systems
- Ability to communicate professionally through phone, text, email, and in-person interactions
- Reliable, punctual, and dependable
- Comfortable discussing services, products, memberships, packages and scheduling with clients
- Ability to maintain client confidentiality and exercise good judgment
- Team-oriented with a willingness to assist across all areas of the practice
- Previous medical aesthetics or luxury hospitality experience is a plus, but not required

Most importantly, you understand that we are building clients for the next 20 years—not the next 20 minutes.
Pay: $17.00 - $19.00 per hour
Expected hours: No less than 16.0 per week
