Wholesale Customer Service Coordinator
Honeydew is seeking a detail-oriented Wholesale Customer Service Coordinator to support our growing wholesale business. This role serves as a central point of contact between sales representatives and internal teams, ensuring a seamless order-to-delivery experience.
The coordinator plays a critical role in managing customer communication, order processing, system accuracy, and logistics coordination. Working closely with our team of sales representatives, this position helps streamline information flow, maintain operational efficiency, and deliver exceptional customer service in a fast-paced, deadline-driven environment.
The ideal candidate is highly organized, self-directed, and thrives in a collaborative setting while managing multiple priorities independently.
Key Responsibilities
Customer & Order Management
- Process and manage customer orders, including changes, invoicing, shipping updates, and payment collection
- Serve as a primary contact for customer inquiries related to orders and fulfillment
Systems & Data Accuracy
- Maintain up-to-date records to support weekly shipping visibility and reporting
Fulfillment Coordination
- Update order status in NetSuite/NuORDER and monitor fulfillment through the Distribution Center
Warehouse Communication
- Communicate daily with warehouse team to ensure timely processing and shipment of orders
- Proactively resolve issues to meet shipping deadlines and cancel dates
Returns & Credits
- Assist customers with return requests, exchanges, and swaps (with VP of Sales approval)
- Process Return Authorizations, Credit Memos, and generate UPS return labels
Sales & Administrative Support
- Support sales representatives with administrative needs, including shipping reports.
Qualifications
- 2 years of experience in a customer service or wholesale support role
- Strong data entry skills with working proficiency in NetSuite, NuORDER, or similar systems preferred
- Advanced proficiency in Microsoft Excel and MS Office required
- Exceptional organizational, time management, and problem-solving skills
- High attention to detail with strong written and verbal communication abilities
- Comfortable managing multiple priorities in a fast-paced environment
- Ability to lift and/or move up to 25 pounds
