POSITION OVERVIEW
Hometown Realty is seeking a highly capable, detail-oriented, and driven Office Manager to serve as the operational backbone of our fast-paced real estate office. This is a critical leadership role requiring an individual who can manage a broad range of responsibilities simultaneously — from day-to-day office operations and agent support to accounting oversight, compliance, and team leadership. KEY RESPONSIBILITIES
Office Operations & Administration
- Oversee and manage all daily office operations, ensuring smooth and efficient workflow at all times
- Answer and route incoming office calls professionally; direct leads to appropriate agents promptly
- Maintain office systems, filing, supplies, and equipment to support a productive work environment
- Conduct banking duties including deposits, withdrawals, and financial errands as required
- Serve as the primary point of contact for all operational matters, escalating issues to the owner when appropriate
Sales Support & Lead Management
- Route and track incoming leads, ensuring timely and accurate assignment to agents
- Support the sales process by coordinating communications between agents, clients, and third parties
- Monitor sales pipeline activity and provide regular updates and reports to ownership
Document Preparation & Compliance
- Prepare, review, and manage all real estate transaction documents with a high degree of accuracy
- Conduct thorough compliance reviews of all contracts, agreements, and related documentation
- Ensure all transactions meet regulatory and brokerage compliance requirements from contract to close
- Maintain meticulous records and audit trails for all files and transactions
Accounting & Financial Management
- Oversee all aspects of office accounting, including accounts payable, accounts receivable, and general ledger
- Calculate, process, and distribute agent commission payments accurately and on schedule
- Produce financial reports and statements for ownership review on a regular basis
- Manage rent collection, track payments, and maintain records for any property management activities
Tenant & Client Communication
- Serve as a primary point of contact for tenant communications, addressing inquiries professionally and promptly
- Handle tenant escalations with professionalism and sound judgment, involving ownership as appropriate
- Maintain positive, proactive relationships with clients, tenants, and vendors
Team Leadership & Training
- Lead, supervise, and mentor office assistants and support staff to ensure high performance and accountability
- Develop and implement training programs and onboarding procedures for new team members
- Set performance expectations, provide ongoing feedback, and foster a culture of excellence
- Lead regular team meetings and contribute to office-wide strategic planning initiatives
Social Media & Marketing
- Oversee and manage the company's social media presence across all active platforms
- Coordinate content creation, scheduling, and engagement in alignment with brand standards
- Monitor analytics and adjust strategy to grow audience reach and engagement
QUALIFICATIONS & REQUIREMENTS
- Minimum 3–5 years of experience in office management, real estate administration, or a comparable role
- Prior experience in real estate, property management, or a brokerage environment strongly preferred
- Demonstrated ability to manage multiple high-priority responsibilities simultaneously without error
- Strong working knowledge of accounting principles and financial reporting
- Proficiency with real estate transaction platforms, CRM systems, Microsoft Office Suite, and social media tools
- Exceptional written and verbal communication skills
- Real estate license a plus, but not required
