Hometown Insurance Agency of Long Island, Inc. is seeking a confident, organized, and proactive Front Desk Operations Assistant - Receptionist to serve as an important first point of contact for our customers while keeping the day-to-day front desk and administrative operations moving efficiently.
This is an active, hands-on position for someone who Is a team player, passionate about serving our clients, staying busy, managing multiple priorities, and taking ownership of getting things done. The successful candidate will move comfortably between client service, telephone and email communication, data entry, administrative processing, payment transactions, carrier websites, document management, and general office operations.
This is not a position where you will be sitting at a desk waiting for the next task. You will be expected to recognize what needs attention, prioritize your workload, take appropriate action, and follow matters through to completion.
This is an in-office customer facing position must be available for client walk-ins and support of agency reception.
Key Responsibilities
- Welcome and assist clients: Greet visitors, answer and direct calls, and provide professional, friendly assistance to clients and guests.
- Keep things organized: Manage incoming mail, emails & documents to help ensure requests and information reach the appropriate team member promptly.
- Work with technology: Perform data entry, document processing, carrier downloads and cancellations, billing-related tasks, scanning, logging, and other administrative functions using agency systems and technology.
- Get the details right: Review documents and information for accuracy, follow established operational procedures, and complete tasks & projects carefully and on time.
- Support the team: Provide administrative and operational assistance to our sales and service professionals and triage priorities appropriately.
- Deliver excellent service: Communicate professionally and courteously with clients, carriers, and colleagues by phone, email, and in person.
- Keep learning and growing: Develop your knowledge of insurance, agency systems, and client service while taking on increasing responsibility.
What We’re Looking For
- Prior office or administrative experience required; insurance experience is a plus.
- Strong attention to detail, organization, and follow-through.
- Professional communication skills and strong business etiquette.
- Comfortable learning new technology and using Microsoft Outlook, Word, and Excel.
- Ability to manage multiple priorities while maintaining accuracy.
- Positive, dependable, team-oriented approach with the ability to adapt to changing priorities.
- Genuine interest in helping people and providing excellent customer service.
- Commitment to obtaining a New York Property & Casualty Insurance License within the first 3–6 months of employment. Training and guidance will be provided.
