The School/Building Secretary plays a crucial role in maintaining the efficient operation of the school office and providing essential administrative support to ensure smooth daily operations. The school/building secretary possesses excellent communication skills, proficiency in office management, and a commitment to providing exceptional customer service.
Front Desk Management:
Greet visitors, parents, and students in a friendly and professional manner.
Answer and direct phone calls to the appropriate staff members at appropriate times.
Manage the flow of information in and out of the school office.
Student Activity Fund:
Reconcile Accounts and perform regular account balancing.
Issue checks, process deposits, and maintain accurate financial records.
Utilize QuickBooks for financial tracking, reporting and recordkeeping.
Budgeting:
Assists the building administration in the budgeting process.
Administrative Support:
Assist in the preparation and distribution of school communications, such as newsletters and announcements.
Maintain accurate and organized filing systems for student records, attendance, and other important documents.
Assist building administration with requested tasks.
Attendance Monitoring:
Record and manage daily attendance records for students and staff.
Communicate with teachers and parents regarding attendance-related matters.
Scheduling and Coordination:
Schedule appointments and meetings for school administrators and staff.
Coordinate and assist in the planning of school events, conferences, and parent-teacher meetings.
Communication Liaison:
Serve as a liaison between parents, students, and school staff.
Distribute information to parents and caregivers regarding school activities, policies, and events.
Data Entry:
Accurately input and update student and staff information in the school's various information systems and databases.
Generate reports and maintain records as needed.
Supply Management:
Monitor and replenish office supplies as necessary.
Coordinate with vendors and maintain inventory of office materials.
Qualifications:
- High school diploma or equivalent; additional education or training in office administration is a plus.
- Proven experience in an administrative or secretarial role.
- Experience with bookkeeping or financial management strongly preferred
- Proficiency in computer skills, including word processing, spreadsheets, Microsoft Office products (Word , Excel, etc.), Google Educator Workplace (Docs,Sheets, etc.), QuickBooks, and database management.
- Excellent organizational and multitasking abilities.
- Strong interpersonal and communication skills.
- Ability to maintain confidentiality and handle sensitive information.
- Familiarity with school policies and procedures is advantageous.
Pay: $14.35 per hour
