Member Services & Administrative Coordinator
Position Type: Full-Time, On-Site
Compensation: $18.00 per hour

Position Summary
The Member Services & Administrative Coordinator serves as a key liaison between the Business Office and Member Services Department, supporting daily operations while delivering exceptional service to residents, guests, and homeowners. This role combines customer service, administrative support, and financial processing responsibilities.
The ideal candidate is organized, detail-oriented, customer-focused, and comfortable working with financial records and multiple priorities in a fast-paced environment.
Essential Duties & Responsibilities
Administrative & Financial Support
- Provide Accounts Receivable (A/R) and Accounts Payable (A/P) support for upper management, including data entry, invoice processing, payment tracking, account reconciliation and maintaining accurate financial records.
- Process member payments accurately, including assessments, fees, and other Association charges.
- Calculate, collect, and process required capital improvement fees, and transfer assessments during property closings
- Prepare, review, and issue legally compliant resale certificates and disclosure packages for real estate transactions.
- Assist in preparing monthly financial packets, tracking budget variances, and monitoring delinquency reports for the association
Member Services & Resident Support
- Serve as a primary point of contact for member questions regarding accounts, payments, amenities, and community services; escalating issues to management as needed
- Support new homeowner onboarding by maintaining member records and preparing welcome information.
- Assist with resolving member questions, concerns, and routine requests.
- Provide coverage for the MS department as needed.
Clerical & Office Administration
- Maintain organized filing systems, both electronic and paper.
- Answer and direct incoming phone calls while providing accurate information and exceptional customer service.
- Perform general clerical duties including scanning, filing, copying, and document management.
- Support office operations by completing additional administrative tasks as assigned.
Qualifications
- High school diploma or equivalent required; Associate degree in Business, Accounting, or a related field preferred.
- Minimum 2 years of experience in administrative support, customer service, or related roles preferred.
- Experience processing payments, maintaining records, or supporting accounting functions preferred.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
- Professional demeanor and commitment to providing outstanding customer service.
- Ability to maintain confidentiality of member, financial, and business information.
- Bilingual/ Spanish skills are a plus
