Role Summary
The Scheduler & Receptionist is responsible for managing daily caregiver schedules while serving as the first point of contact for all incoming calls and visitors. This role ensures uninterrupted client care, accurate scheduling, professional communication, and efficient front-office operations.
Primary ResponsibilitiesScheduling & Staffing
- Create, manage, and update caregiver schedules in MYEVV/ERSP
- Ensure all client shifts are fully staffed and within authorization limits
- Respond to call-outs, no-shows, and last-minute schedule changes
- Contact caregivers regarding missed or late clock-ins
- Troubleshoot EVV clock-in/clock-out issues
- Verify time entries prior to payroll submission
- Communicate schedule updates to caregivers and clients
- Maintain accurate scheduling and attendance records
- Escalate unresolved staffing or coverage issues to leadership
Reception & Front Office
- Answer and route all incoming phone calls promptly and professionally
- Serve as the first point of contact for clients, caregivers, and partners
- Direct calls to appropriate departments (billing, HR, nursing, admin)
- Take accurate messages and ensure timely follow-up
- Greet visitors and maintain a professional front-office environment
- Respond to general inquiries and provide basic information
- Monitor office email inboxes and forward messages appropriately
- Maintain confidentiality at all times
Administrative Support
- Assist with filing, scanning, and data entry as assigned
- Maintain organized client and employee records
- Support onboarding and orientation logistics when needed
- Assist leadership with operational tasks related to scheduling and communication
Qualifications
- Experience in scheduling, reception, or administrative roles (home care preferred)
- Strong multitasking and time-management skills
- Comfortable handling high call volume and urgent scheduling needs
- Professional phone etiquette and communication skills
- Attention to detail and ability to work under pressure
- Familiarity with EVV systems preferred
- Reliable, organized, and accountable
