Scheduling Coordinator – Home Sweet Home Health
Compensation: $22-25 per hour Employment Type: Full-Time, Hourly Schedule: Monday–Friday Reports To:Human Resource Manager
Position Summary
The Scheduling Coordinator is responsible for ensuring that all client visits are appropriately staffed to maintain continuity of care and service excellence. This position requires strong organizational skills, attention to detail, and effective communication to balance client needs, caregiver availability, and agency requirements. The ideal candidate will demonstrate professionalism, adaptability, and a commitment to providing outstanding support to both clients and caregivers.
Key Responsibilities
- Point person to accept and coordinate new referrals/intakes, including introduction to services, scheduling services, and following up to ensure satisfactions of services
- Ensure nursing introductions and orientations are scheduled appropriately if required, including assessments
- Coach caregivers in the moment regarding tardiness, missed shifts, dress code, client concerns, etc., documents findings and escalate appropriately.
- Participate in recruitment or on boarding activities including communicating staffing needs.
Reviewing schedule accuracy for payroll and billing
Report changes in status of clients including hospitalizations, suspensions, transfers out of geographic area, nursing home placements, vacations, etc. to the appropriate party, including your supervisor, case manager, emergency contact or nurse assigned to the clients.
Develop, manage, and maintain caregiver schedules using agency scheduling software.
Coordinate and fill open shifts promptly, ensuring coverage that meets client care plans.
- Communicate professionally and accurately with caregivers, clients, and family members regarding scheduling updates and changes.
- Maintain accurate documentation of caregiver availability, client preferences, and scheduling activity.
- Collaborate with Human Resources and the Operations team to align new hires with appropriate cases.
- Monitor and address attendance issues, call-outs, and late arrivals in a timely and professional manner.
- Support holiday scheduling on a limited, rotating basis when needed.
- Ensure all schedules are compliant with company policies, state regulations, and client requirements.
- Other duties as assigned.
Qualifications
- Previous experience in scheduling, staffing coordination, or office administration, preferably within the home healthcare or healthcare industry.
- Excellent communication, organizational, and time-management skills.
- Proficiency with scheduling software and Microsoft Office applications.
- Ability to work independently, manage competing priorities, and problem-solve under pressure.
- Demonstrated professionalism and commitment to maintaining confidentiality at all times.
Work Schedule & Requirements
- One Day: In-office 8:30am-4:30pm
- Four Days: Remote 8:30am-4:30pm
- Holiday Rotation: Required to work one company holiday per year, on a rotating basis
- Occasional flexibility may be required to support urgent scheduling needs
- The scheduling coordinator must be able to handle stressful situations like last-minute call-outs, conflicting employee requests, unexpected demand spikes, tight deadlines for complex schedules, and managing difficult personalities or complaints, requiring strong prioritization, communication, problem-solving, and adaptability to balance organizational needs with staff well-being and operational requirements
