Summary: This is a process-driven role focused on executing established workflows and supporting operational leaders. The position supports managers and supervisors who manage client relationships and construction projects.
Duties and Responsibilities
- Calendar Management: Maintain appointment schedule, communicate issues or reschedule requests and gaps in the schedule. Audit calendar and alignment to confirm jobs are listed and being tracked, as well as employee vacation and off days match internal systems.
- Client Communication: Send regular appointment reminders as defined, track responses and flag issues.
- Field Support and Materials: Track maintenance material lists for upcoming visits and order parts in advance and deliver when needed.
- Work Order Management: Create and update maintenance work orders, including request lists, notes & history, access information and materials.
- Email Monitoring: Monitor department email box for scheduling responses and respond to routine operational items.
- Activity Reports: Process activity reports ensuring that they have been submitted, completed and are up to date and ready to be sent to the client.
- Support Repair Operations: Assist Repairs Department by identifying completed jobs not yet billed and assist in moving through process.
