Position Summary 

The Membership & Operations Coordinator supports the administration of office operations, membership services, financial processes, and educational programs within established Alliance policies and procedures. This position is responsible for maintaining accurate membership and financial records, supporting member engagement, supporting educational programs, and providing administrative support that contributes to the efficient operation of the organization. 


Qualifications 

  • High school diploma or equivalent required; Associate degree preferred. 
  • Minimum of two (2) years of administrative or office experience. 
  • Experience with membership databases, CRM systems, or data management preferred. 
  • Experience with accounts receivable, collections and/or basic accounting principles. 
  • Proficiency with Microsoft Office Suite and standard business software applications. 
  • Strong organizational skills with exceptional attention to detail and accuracy. 
  • Excellent verbal, written, and telephone communication skills. 
  • Ability to manage multiple priorities and meet deadlines with minimal supervision. 
  • Demonstrated initiative, sound judgment, and problem-solving skills. 
  • Ability to maintain confidentiality and handle sensitive information professionally. 


Essential Responsibilities 

  1. Support membership recruitment, retention, renewals, and dues collection activities. 
  2. Maintain accurate and up-to-date membership, customer, conference registration, and organizational database records. 
  3. Ensure data integrity through routine audits, updates, reporting, and ongoing database maintenance. 
  4. Generate membership, financial, and program reports to support organizational planning and decision-making. 
  5. Assist with the planning and on-site support of conferences, meetings, educational programs, and special events. 
  6. Respond to member inquiries via telephone, email, and in person while providing excellent customer service. 
  7. Process online store orders and prepare member communications, mailings, and promotional materials. 
  8. Record income receipts, prepare bank deposits, and maintain accurate financial documentation. 
  9. Manage accounts receivable by preparing invoices, monitoring outstanding balances, processing payments, following up on delinquent accounts, and assisting with account reconciliations. 
  10. Assist with monthly financial reporting and reconcile membership dues, event revenue, and other assigned accounts. 
  11. Administer member benefits programs, including the Boston Parking Placard Program, and Alliance Accreditation Program. 
  12. Perform general administrative duties including data entry, word processing, document preparation, filing, and correspondence. 
  13. Receive, sort, and distribute incoming mail and deliveries. 
  14. Operate and maintain standard office equipment and electronic filing systems. 
  15. Perform other related duties and special projects as assigned. 


Internal Relationships 

Reports to the Director of Business Operations. Works closely with other Alliance staff to ensure smooth workflow, effective communication, and the timely completion of projects, programs, and daily operational responsibilities. 


External Relationships 

Maintains consistent email and telephone communication with members, vendors, program participants, and other external stakeholders. Represents the Alliance professionally while providing exceptional customer service and responding promptly to inquiries.
