Position Overview
The Litigation Paralegal / Legal Secretary - Supervisor oversees the daily operations, performance, and workflow of the litigation paralegal / legal secretary team. This leadership role is responsible for driving operational excellence, ensuring consistent execution of best practices, and maintaining high-quality service delivery throughout the litigation lifecycle.
This position partners closely with firm leadership and attorneys while remaining hands-on in managing case flow and supporting complex matters. The Supervisor plays a strategic role in aligning attorney objectives with paralegal execution to ensure seamless coordination and optimal case management.

Key Responsibilities
Team Leadership & Supervision
- Supervise, mentor, and develop a team of 3 litigation paralegals/legal secretaries.
- Manage team workflow, scheduling, productivity, and administrative oversight.
- Conduct regular workload reviews and team meetings to ensure balanced distribution and optimal performance.
- Provide ongoing coaching, training, and professional development opportunities.
- Serve as liaison between attorneys, paralegals, management, and administrative departments.
- Step in to support pre- and post-judgment litigation matters when coverage is required.
- Monitor and manage internal dashboards to ensure cases progress efficiently and appropriately.
Case Management & Operations
- Will be a supervisory, working Paralegal on our Claim & Delivery team.
- Oversee a high-value inventory of Pre and Post Claim & Delivery litigation matters from inception through resolution.
- Monitor deadlines, court requirements, and litigation milestones to ensure timely and compliant case progression.
- Implement and refine case management strategies to enhance efficiency and productivity.
- Rebalance team workloads proactively to maintain service standards and prevent bottlenecks.
- Maintain current knowledge of court procedures and judicial protocols and communicate updates to the team.
Quality Assurance & Compliance
- Ensure adherence to litigation procedures, regulatory requirements, and firm policies.
- Conduct periodic file audits and performance reviews to maintain high-quality standards.
- Identify process gaps and implement corrective measures to improve outcomes.
Strategic & Operational Planning
- Partner with attorneys and firm leadership to develop long-term strategic initiatives for the litigation department.
- Identify opportunities for workflow optimization, technology integration, and operational improvement.
- Contribute to department goal setting, performance metrics, and continuous improvement initiatives.
Qualifications
- Paralegal Certificate (preferred)
- Bachelor’s degree (preferred)
- 5–7 years of litigation paralegal experience, preferably in complex or high-volume environments
- Experience in collections law is strongly preferred
- 7–10 years of leadership or supervisory experience
- Strong knowledge of litigation procedures, court rules, and required documentation
- Proficiency in Microsoft Word, Excel, document management systems, and litigation/practice management software (CLS preferred)
- Experience with e-discovery platforms and high-volume document management
- Demonstrated leadership abilities including coaching, mentoring, team-building, and conflict resolution
- Excellent organizational, analytical, and problem-solving skills
- Ability to manage multiple priorities in a fast-paced environment
- High emotional intelligence, discretion, and sound judgment
- Strong written and verbal communication skills
- Ability to work independently with initiative and minimal supervision
