Position Summary
Holy Trinity Lutheran Church is seeking a highly organized, flexible, and self-motivated Church Administrator to oversee the day-to-day administrative operations of the congregation. This position supports the ministry of the church by providing administrative, communication, and organizational support that enables the congregation to live out its mission of Loving, Not Judging.
The ideal candidate is comfortable working independently, managing multiple priorities, and supporting both staff and volunteers in a welcoming church environment. While some responsibilities require work onsite, some of the position can be completed remotely with a flexible schedule.
Reports To: Pastor and Church Council President
Hours: 10 hours per week on average, with additional hours required during major church seasons (Christmas, Holy Week/Easter, special events). Hours are generally flexible based on ministry needs.
Job Duties
Worship & Congregational Support
- Prepare weekly Sunday bulletins and bulletins for special worship services, weddings, funerals, and other events in collaboration with the Pastor and Director of Music.
- Print, assemble, and distribute worship materials.
- Email worship bulletins prior to services and maintain digital copies.
- Coordinate altar flower reservations, acknowledgements, and seasonal flower orders (Christmas poinsettias, Easter flowers).
- Ensure worship leaders and volunteers have necessary information and materials.
Communications
- Monitor church email, voicemail, and phone messages, responding or forwarding inquiries as appropriate.
- Serve as the first point of contact for website inquiries.
- Create the monthly church newsletter using Canva and distribute electronically and in print.
- Manage email communications and announcements,
- Create and schedule social media posts using content provided by church leadership.
- Maintain current information on the church website.
- Acknowledge memorial gifts and assist with other congregational correspondence.
Administration & Records
- Maintain the church calendar, including facility reservations and parking lot scheduling.
- Maintain attendance records and congregational records within the Church Management System, including baptisms, confirmations, marriages, funerals, and membership updates.
- Maintain the congregational directory.
- Maintain master contact lists, volunteer responsibilities, and organizational records.
- Compile and publish the congregation's Annual Report.
- Maintain administrative files, contracts, and vendor information.
Building & Property Coordination
- Serve as the primary administrative contact for property use requests and tenant communications.
- Coordinate with the Property Team and outside vendors regarding maintenance issues.
- Notify tenants and building users of relevant church activities or schedule changes.
- Monitor routine building needs during scheduled onsite visits.
- Check incoming mail and distribute as appropriate.
- Water indoor plants and perform light administrative building support.
- Assist volunteers and ministry leaders with deliveries, packages, and other routine operational needs.
- Order office and maintenance supplies as needed.

Preferred Skills
Experience with some or all of the following is preferred:
- Microsoft Word, Outlook, Excel, and Publisher (or similar office software)
- Canva
- Email marketing platforms (Mailchimp or similar)
- Church Management Systems
- Social media scheduling platforms
- Basic website content management
- Previous experience in a church, nonprofit, or administrative office is preferred but not required.
Work Environment
This position combines remote and onsite work. Most administrative tasks—including bulletin preparation, newsletters, communications, and scheduling—may be completed remotely. Onsite responsibilities typically include printing worship materials, checking mail, coordinating building needs, and supporting volunteers. The position generally requires being onsite two to three times each week, with additional presence during holidays and special events.
Pay: $20.00 - $25.00 per hour
Expected hours: 10.0 – 15.0 per week
