JOB SUMMARY
The Administrative Assistant reports to and is responsible for assisting the Senior Project Manager with the daily management, supervision, coordination, and successful completion of the project objectives with respect to contracting, scheduling, estimating, bidding, and contract administration functions.
ESSENTIAL JOB FUNCTIONS, DUTIES AND RESPONSIBILITIES

- Office Management:
- Open, sort, address mail and other deliveries
- Manage inventory of office and breakroom supplies
- Greet visitors and manage sign-in/out sheets
- Set up and coordinate project meetings and team building events
- Financial:
- Process incoming expenses
- Review and process vendor invoices and pay applications
- Understand project cost codes
- Send documents via Docusign
- Collect, file and review insurance certificates and lien waivers
- Information Technology:
- Must be competent in MS Office and Google Suite software
- Must be proficient in Procore
- Support:
- Participate in onboarding and demobilization activities
- Assist in financial closeout of subcontractor, vendors and suppliers
- Update monthly logs
Maintain and compile delivery tickets in the Project Management software
GENERAL BACKGROUND AND MINIMUM REQUIREMENTS
- Degree in a related field or equivalent experience
- Minimum of one to three years of administrative experience
- Ability to perform in these areas: client relationships, interpersonal skills, computer skills, safety, ability to communicate, both written and oral
