Job Duties and Responsibilities:
➢ Responsible for the training and supervision of the Administrative Coordinator.
➢ Meets with site staff on a weekly basis to discuss tenant issues, review policies and procedures, and provide supervision to ensure compliance with all Holsten
Management Corporation policies.
➢ Maximizes rent collections and occupancy essential to the approved budget.
➢ Specifically, responsible for all documentation relating to the recertification schedule but not limited to compliance procedures, move-ins, move-outs, required reports and subsidies.
➢ Monitor and generate weekly reports in One-Site and Yardi specific to the daily administrative tasks.
➢ Maintains an updated the waitlist for all Market Rate and Affordable applicants and conduct applicant interviews from the CHA waitlist in efforts to make recommendations regarding suitability of applicants for tenancy.
➢ Conducts regular site walk-throughs to ensure lease compliance for annual reviews and annual unit inspections.
➢ Prepares monthly status report of tenants under legal and submits to Property Manager for final review / coordinates with Holsten Accounting Team and Legal Department in regard to collection proceedings.
➢ Works in coordination with Holsten Human Capital Development Department by submitting referrals to resolve tenant/landlord issues as they arise utilizing the Holsten
Management Corporation model.
➢ Provides professional responses to issues that arise with tenants, neighbors, and others and provide immediate resolution.
➢ Implements and ensures the enforcement of all policies set forth by the Holsten
Management Corporation model.
➢ Responsible for assisting the Administrative Coordinator as needed with generating and keeping all maintenance work order requests in the unit file system
➢ Ensures monthly inspections, preventative maintenance and fire safety procedures are implemented and completed.
➢ Responsible for becoming familiar with building systems and equipment, contract services, including service schedules, contact information, warranties, inspections, and expirations of contracts to ensure adequate preventive maintenance.
➢ Monitors and updates the daily activities of the Maintenance Team in efforts to provide recommendations relative to tenant service improvements and/or workflow, as appropriate.
➢ Reviews security reports daily, and initiates follow-up action, as appropriate.
➢ Participates in quality efforts to promote organizational development.
➢ Schedule and organize quarterly tenant meetings
➢ Attends all required training to ensure individual and professional growth.
➢ On-call for resident emergencies or any other tenant issues during non-office hours.
➢ Other duties assigned by management.
Job Requirements:
➢ College degree in Business Administration or other related field
➢ Minimum of 3-5 years supervisory experience.
➢ Minimum of 3-5 years property management experience
➢ Property management software experience preferred
➢ Any equivalent combination of approved experience, training and/or education
