The Service Writer/Parts Person is responsible for coordinating customer communication, scheduling service needs, managing repair order information, and ensuring proper parts ordering and processing to support efficient department operations.
Parts Returns, Warranty Parts and Core Processing:
- Unused parts
- Incorrect parts
- Warranty-related parts
- Core returns
Ensure physically returned parts are processed through the appropriate channels, including parts delivery pickup or shipment, to secure proper credit, refunds, or inventory adjustments.
Ensure unneeded or incorrect parts are returned promptly to prevent unnecessary inventory expense and lost credits.
Internal Warrant Responsibilities:
- Maintain a thorough understanding of the company’s internal warranty policies and coverage guidelines.
- Identify repairs that qualify for internal warranty coverage.
- Ensure warranty claims are documented, processed, and communicated accurately according to company procedures.
- Maintain complete and accurate records of warranty repairs. Notify the Service Manager of warranty concerns, trends, or recurring issues.

Requirements:
- Answer all incoming service calls, assess the severity of vehicle concerns, and schedule customer appointments appropriately.
- Maintain communication with customers regarding vehicle status, repairs, and completion updates by phone and in person when necessary.
- Ensure accurate notes are entered into DealPack and communicate important customer concerns or issues to the Service Manager.
- Order parts requested by Service Technicians and Inspection Technicians as needed.
- Prioritize local sourcing for urgent parts needs and utilize more cost-effective suppliers for non-urgent parts when appropriate.
- Ensure all ordered parts are correct for the specified vehicle before installation.
- Ensure all ordered parts are received, billed, and assigned to the correct vehicle repair order.
Department Support
- Maintain organized parts records and support efficient workflow throughout the department.
- Work closely with technicians and management to minimize repair delays.
- Assist in maintaining accurate vehicle and repair order information within department systems.
