The automotive markets Holman serves include fleet management and leasing; vehicle fabrication and upfitting; component manufacturing and productivity solutions; powertrain distribution and logistics services; commercial and personal insurance and risk management; and retail automotive sales as one of the largest privately owned dealership groups in the United States. Job Inputs: Understand company’s training programs, practices and activities to provide exemplary customer service. Maintain the training calendar and scheduling of courses: create training events and sessions in the Learning Management System (LMS), support enrollment requests through proxy enrollments and withdrawals, manage waitlists, process attendance rosters, etc… Manage the Training Room calendar and scheduling. Ensure training room set up is complete prior to scheduled classroom/instructor-led sessions. Ensure technical resources, training materials, supplies and rosters are available to facilitators. Track training progress and follow up with students to keep them on track, ensure completion of programs in a timely manner (i.e. New Hire Curriculum). Run monthly training reports to track progress against corporate goals; provide ad-hoc reports as requested. Manage and implement LMS platform updates and enhancements, providing expertise and training to internal stakeholders as needed. Support the Holman University team by scheduling activities related to events throughout the year; source vendors and schedule external resources as needed; send corresponding communications to appropriate audiences. Support the Learning & Development team with any training-related administrative and support needs including ordering of supplies, reserving rooms, etc. Monitor Holman University email inquiries, providing timely and accurate resolution to internal customers. Prepare ad-hoc reports and data analyses as requested by stakeholders, providing insights and recommendations. Develop real-time reports and dashboards to enable internal customers to accurately monitor required training compliance. Review the course catalog and performance data on a yearly basis to establish and report on KPI’s for Holman University Perform all other duties and special projects as assigned Education and/or Training: High School Diploma or equivalent, a degree in Business Administration, Human Resources, or relevant field preferred Additional education, certifications, or experience are a plus Proficient in various desktop tools including MS Office Programs (i.e. Outlook, Excel, Word, PowerPoint, Project, Visio, SharePoint etc.) Familiarity with office technology and equipment, including computers, fax machines, scanners, printers, phone systems, etc. Relevant Work Experience: 2-4 years’ experience in administrative services or related fields Proficiency in Human Resources and Learning and Development functions and practices. Proficiency with Learning Management Systems, preferably Workday and Workday Learning. Proficiency in a technical or functional area; knowledge of work processes and tools is generally limited to own area of responsibility or department Reviewing and improving processes, methods, and tools to increase efficiency, accuracy, and security Planning/Organizing/Managerial Knowledge: Proactive, organized approach to multitasking and prioritization Effectively manages time and consistently meets deadlines with some guidance from manager Demonstrates accuracy, thoroughness and effectiveness in work Demonstrates attention to detail and commitment to doing quality work Adjusts quickly to new or changing assignments, processes and people Displays professionalism and remains composed when faced with challenges Learns from experience; modifies behavior to be more effective Recognizes one’s own strengths and opportunities for growth Uses existing procedures to solve routine or standard problems; applies some degree of judgement and discretion Applies basic knowledge of theories, practices and procedures to complete assigned work Decisions are guided by policies, procedures and business plan; receives some guidance and oversight from manager Communicating & Influencing Skills: Strong verbal and written communication skills Strong interpersonal and customer service skills Ability to express information and ideas in a clear and organized manner Gathers, clarifies, and applies information to provide timely and effective responses to the needs of both internal and external customers Takes personal responsibility for customer satisfaction and loyalty Works independently or with others within own area or department to achieve team goals Offers support to other team members; follows through on commitments Applies emotional intelligence in responses and reactions Demonstrates consistency between words and actions Listens openly and carefully to others’ ideas and suggestions; respects opposing points of view Consistently earns trust, loyalty and respect of others Outputs: Ensure accurate and efficient scheduling of classes within Holman University, adhering to established timelines and protocols. Facilitate the timely processing of rosters to facilitate the smooth progression and completion of courses. Maintain proactive management of training room schedules, preemptively addressing any potential conflicts or issues to ensure seamless operations. Demonstrate responsiveness to inquiries directed to Holman University, striving to provide comprehensive assistance and resolution within a 24-hour timeframe.
