During this period, you will become familiar with Hollywood Post, No. 43, The American Legion, Department of California, and your job responsibilities, and we will have the opportunity to monitor the quality and value of your performance and make any necessary adjustments in your job description or responsibilities. Completion of this introductory period does not imply guaranteed or continued employment. Nothing that occurs during or after this period should be construed to change the nature of the “at will” employment relationship.

Essential Duties
- The Adjutant shall have charge of and keep a full and correct record of all proceedings of all meetings and shall keep other such records as required and shall prepare a list of unfinished matters from the minutes of previous meetings for inclusion in the Commander’s agenda.
- The Adjutant shall handle all correspondence of the post and publish announcements and instructions as required under the direction of the Commander.
- The Adjutant shall keep membership records and shall work with and assist other officers and committees of the Post and follow-up as required.
- The Adjutant shall develop and maintain a comprehensive filing system to ensure ready access to all post records and all other sources of information, so they are readily available.
- The Adjutant shall ensure that the post is compliant and follows all rules, regulations, laws, licenses and club licenses.
- The Adjutant will supervise those daily operations involving membership support and building maintenance.
- Perform other duties as assigned
A qualified candidate should have three to four years of experience in a management or operations role.
- Must be a veteran of the United States Armed Forces with an HONORABLE discharge. This is not negotiable.
- Proven experience in administrative support or as an aide to senior management in a fast-paced environment
- Exceptional organizational skills with the ability to multitask efficiently under pressure
- Strong written and verbal communication skills for clear, professional interactions
- Ability to handle sensitive information with discretion and integrity
- Proficiency in office software such as word processing, spreadsheets, presentation tools, and calendar management systems
- Demonstrated problem-solving skills with a proactive attitude toward anticipating needs and resolving issues swiftly
- Flexibility to adapt to changing priorities and maintain composure in high-pressure situationsPost activities are expected to be carried out with minor supervision.
- Must be capable of multitasking, setting priorities and working under pressure.
- Must have the ability to communicate and work well with others.
- Solid computer and presentation skills including use of Microsoft.
Duties
- Assist senior leaders in managing daily schedules, appointments, and travel arrangements with precision and foresight
- Prepare, review, and organize correspondence, reports, and briefing materials to ensure clarity and timeliness
- Coordinate meetings, conferences, and official events, including logistics, documentation, and follow-up actions
- Serve as a liaison between leadership and internal teams or external partners to facilitate effective communication
- Monitor and prioritize incoming communications, ensuring urgent matters are addressed promptly
- Maintain confidentiality of sensitive information while ensuring all administrative processes adhere to organizational standards
- Support the planning and execution of strategic initiatives by providing logistical assistance and tracking progress.
