TITLE: Member Relations -Front Desk
DEPARTMENT: Administration
REPORTS TO: Business Office Manager
SUPERVISES: None
CLASSIFICATION: Regular, Full-time

SUMMARY:
Member Relations/ Receptionist provides administrative support to the Business Office Manager and serves as initial contact for all property owners, visitors, and guests whether in person or via phone, relaying messages and greeting members and guests
DUTIES AND RESPONSIBILITIES:

Open the front office and prepares to receive members and guests. a. Prepare coffee b. Opens the POS c. Check drop box (morning and afternoon)
Receives and posts payments of property owner dues, fees, and fines
Maintains the seasonal appearance of the offices and Lobby
Receives and process Pro shop deposits
Responsible for new homeowner packets and orientations
Receives complaints and/or requests from property owners, contractors, vendors, etc., and resolves them or refers them to the proper person for resolution.
Keep all forms printed and organized for the front office staff.
Completes new homeowner packets and orientations
Responsible for calendar of events, building rentals and scheduling community events
Serves as a liaison with different service vendors
Responsible for all incoming calls and ensuring all visitors are properly received.
Receives and distributes mail accordingly
Schedules Flu/Covid Shots for homeowners.
Responsible for issuing and maintaining RFID cards and access cards, posted to members’ accounts and forwarded to Security.
Interprets, applies, and adheres to HLRA policies and procedures in a consistent and professional manner.
Performs other duties as assigned.
Coordinate special scheduling of annual events to include, but not limited to; mammograms, flu shots, dumpster day, paper shredding, etc.…
Works with the BOM to organize the Employee Thanksgiving meal and Christmas Party
POSITION REQUIREMENTS, KNOWLEDGE, SKILLS & ABILITIES:
NOTE: These requirements represent minimum levels in order to perform the job on a
satisfactory basis. Candidates must have the ability to satisfactorily perform the essential
functions of the job.
1. High level of computer proficiency, 10-key by touch, and other office equipment skills.
Proficient working knowledge and ability to use various office software including, but not limited to, Microsoft Word and Excel. Basic internet skills.
2. Good verbal and written communication skills. Ability to speak, read and write proficiently in English. Ability to speak clearly and be understood in face-to-face interactions; to articulate with accuracy on the telephone and through e-mail. Excellent listening skills.
3. Excellent customer service and interpersonal skills.
4. Good organizational skills and attention to detail, ability to multi-task, and manage a variety of tasks.
5. Minimum of five (5) years of office administration experience in a comparable position.
6. Ability to maintain confidentiality.
7. Ability to exercise independent thinking and initiative.
WORKING CONDITIONS AND PHYSICAL EFFORT REQUIRED:
NOTE: These requirements represent minimum levels to perform the essential functions of the
job.
1. Works indoors in a normal office environment majority of the time.
2. No or very limited physical effort is required. Ability to use up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently to move objects.
3. Ability to grasp, push, pull, carry, or otherwise manipulate objects; ability to perform tasks requiring action of muscles or groups of muscles and foot and/or hand-eye coordination.
4. Requires some physical agility for doing the majority of assigned work, including but not limited to bending for items below or reaching for items above the individual, crawling under desks, stooping, and climbing step stools or ladders.
