Office Assistant — HCDC Child Care Center
Overview
Join HCDC’s team as an Office Assistant and support the smooth operation of our child care center. This role is ideal for someone with a positive attitude, strong interpersonal skills, and a desire to learn. You will serve as a professional, friendly point of contact for families and staff while handling essential administrative tasks that keep our center running efficiently.
Key Responsibilities
- Greet families and visitors warmly; manage front desk with professionalism and excellent customer service.
- Answer multi-line phones, respond to emails, and handle inquiries with clear, courteous oral and written communication.
- Perform data entry, maintain enrollment records, file documents, and proofread correspondence for accuracy.
- Use Google Workspace and Microsoft Office for scheduling, correspondence, and daily office tasks.
- Assist with calendar management and appointment scheduling for administrators and classroom staff.
- Support basic bookkeeping and recordkeeping tasks (familiarity with QuickBooks a plus).
- Maintain office supplies, coordinate maintenance requests, and help keep the reception/office area orderly.
- Communicate effectively with families about enrollment, billing, policies, and center events; escalate concerns professionally.
- Embrace ongoing training and demonstrate willingness to learn center procedures, child-care regulations, and software systems.
Qualifications
- Prior office, administrative, or receptionist experience preferred; experience in child care settings is an advantage.
- Strong oral and written communication skills; ability to interact professionally with diverse families and staff.
- Positive, patient attitude and a customer-service orientation; able to remain calm and professional under pressure.
- Proficient with Microsoft Office and Google Workspace; basic computer literacy required.
- Familiarity with QuickBooks or similar accounting software is desirable.
- Excellent organizational skills, attention to detail, and ability to prioritize tasks in a fast-paced environment.
- Bilingual skills are a plus for serving our diverse community.
- Reliable, punctual, and committed to maintaining confidentiality and professional standards.
