POSITION: Architectural Department Liaison (Compliance)
REPORTS TO: Architectural Operation’s Manager
JOB SUMMARY: The Architectural Department is responsible for the processing of all applications, permits, and violations within the parameters of the Holley by the Sea Improvement Association, Inc. (HBTS) and Hidden Creek Estates (HCE) governing documents/policies. Draft’s agendas, post notices, and takes minutes for the Architectural Control Committee (ACC) in accordance with the governing documents and F.S. 720. Ensures implementation of adopted policies and procedures within the parameters of the governing documents, policies, and F.S. 720. Ensures the accuracy of all information; ensures all submitted applications have all required paperwork, to include wetland assessment, property survey, builder's bond, application fee, or other backup documentation as needed; ensures proper handling of funds. Maintain confidentiality of all information.
Overall job duties include, but are not restricted to:
· Strong communication skills to including writing and speaking.
· Ability to deal with diverse membership in different forums in a professional manner, at all times.
· Proficient in Outlook, Word, Adobe, Excel, and the use of office equipment.
· Knowledge of Caliber software program.
· Preparation of correspondence with members, operations manager, community association manager, board of directors, committee members, and builders.
· Processing all applications and ensuring completeness and accuracy, including verifying required documentation (e.g., property surveys, wetland assessments, builder’s bonds, etc.)
· Prepare, update, maintain data system for tracking all actions to include, but not limited to new builds, exterior home improvement projects, parking, permits, et al. Track violations from open to close.
· Schedule appointments with builders, members and county staff. Meeting with members as needed to resolve issues.
· Attend and participate in HBTS Board meetings, ACC meetings, and others as needed. Ensure that all actions and decisions are documented accurately.
· Communicate with county staff to ensure any noticed issues within the subdivision are addressed to include downed signs, trash and debris in rights-of-way, drainage issues, etc.
· Canvass subdivision to ensure upkeep of properties in accordance with governing documents/policies.
· Attention to detail and organization are non-negotiable.
· Well versed in HBTS and HCE Covenants as well as the Association Rules and Policies.
· Working knowledge of Santa Rosa County Land Development Codes/Ordinances; F.S. 720
· Valid driver's license.
· Must be able to lift up to 50lbs.
· All other duties as assigned to meet the department’s needs and goals.
EXPERIENCE: A minimum of two years in a high-tempo office with multiple responsibilities in a dynamic, fluid environment.
MINIMUM EDUCATION: High school diploma or equivalent PREFERRED EDUCATION: Associate degree
