Role Description The Practice Assistant is a part-time (15-20 hours weekly), hybrid role based in Nags Head and Jarvisburg, NC, with some flexibility to work from home. This role includes managing front desk operations, greeting clients, and handling incoming calls with professional phone etiquette. The Practice Assistant will schedule and confirm appointments, maintain calendars for clinicians, and support efficient client intake and check-out processes. Daily tasks include managing electronic charts, processing paperwork, organizing files, and performing general clerical and administrative duties. The role also supports billing-related tasks such as collecting co-pays, obtaining insurance information as directed, and coordinating with external partners when needed. The Practice Assistant will provide responsive customer service, communicate clearly with clients and staff, and help ensure the office environment is organized, welcoming, and compliant with practice policies and confidentiality standards.
Qualifications
- Strong clerical skills, including data entry, filing, document preparation, and basic record management.
- Administrative assistance experience supporting scheduling, calendar management, and office coordination.
- Professional phone etiquette and clear verbal communication skills for managing calls and messages.
- Customer service skills with a client-centered approach, demonstrating empathy, patience, inclusivity, cultural competence and respect.
- Effective written and interpersonal communication skills with attention to detail and accuracy.
