Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
- Handle appointment scheduling, calendar management, and coordinate meetings using Google Workspace or Microsoft Office tools
- Perform data entry, filing, and maintain accurate records for office operations and client information
- Support office management tasks such as supply inventory, mail handling, and basic bookkeeping with QuickBooks or similar software
- Assist with clerical duties including proofreading documents, managing correspondence, and supporting administrative projects
- Provide exceptional customer service by addressing inquiries, supporting client needs, and ensuring a positive experience
Experience
- Previous office or administrative experience is highly preferred, especially in roles such as receptionist or personal assistant
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with multi-line phone systems and excellent phone etiquette skills
- Bilingual abilities are a plus to effectively communicate with diverse clientele
- Demonstrated organizational skills with the ability to multitask efficiently in a fast-paced environment
- Experience with clerical tasks such as data entry, filing, proofreading, and calendar management
- Knowledge of medical or dental receptionist duties is advantageous but not required; training will be provided for specific industry needs
