Position Summary

We are seeking an experienced Catering Services Manager to generate catering business and coordinate the successful planning and execution of meetings, conferences, weddings, and social events.

This role combines catering sales, event planning, and on-site coordination. The Catering Services Manager is responsible for developing new business, rebooking past clients, managing client relationships, and coordinating event details from initial planning through completion. The ideal candidate is highly organized, sales-driven, and comfortable managing multiple events and priorities in a fast-paced hotel environment.

Essential FunctionsCatering Sales & Revenue

  • Generate new catering business through prospecting, solicitation, and relationship development.
  • Rebook past clients and identify future event opportunities.
  • Recommend hotel products and services based on client and event needs.
  • Upsell catering menus, event space, and hotel services when appropriate.
  • Meet established individual and departmental catering sales goals.
  • Manage deposits, final payments, and other payment requirements in accordance with hotel credit policies.

Event Planning & Coordination

  • Coordinate event details including menus, meal functions, meeting room arrangements, exhibits, guest accommodations, audiovisual needs, and special requests.
  • Provide clients with appropriate event options and pricing.
  • Coordinate event space assignments and confirm contracted space, agendas, and event requirements.
  • Partner with the Director of Sales & Events and culinary team regarding custom menu requests and pricing.
  • Review program files during the turnover process and assume responsibility for assigned events.
  • Schedule and facilitate pre-conference meetings as needed.
  • Review meeting room setups prior to events to verify accuracy and readiness.
  • Serve as a liaison between clients, event contacts, and hotel operations teams.
  • Welcome event contacts and delegates upon arrival and provide on-site support as appropriate.
  • Coordinate VIP arrivals, including letters, gifts, amenities, and other special arrangements.

Client Relationships & Follow-Up

  • Serve as a primary point of contact for assigned clients throughout the planning and event process.
  • Maintain clear, timely, and professional communication with clients and internal departments.
  • Connect with event contacts while groups are on property to identify rebooking opportunities and future meeting plans.
  • Ensure accurate post-event information and client details are documented in the sales system.
  • Complete appropriate follow-up and thank-you correspondence.

Sales Administration

  • Prepare proposals, contracts, addendums, BEOs, correspondence, and other event documentation.
  • Distribute event details and reports within established timelines.
  • Complete lost-business, post-event, and month-end reporting as required.
  • Maintain accurate and organized client and event records.
  • Assist with incoming Sales Office inquiries and other department needs as necessary.
  • Perform other duties as assigned.

Qualifications

  • Minimum of 3 years of hotel sales experience required.
  • Catering and/or wedding sales experience strongly preferred.
  • College degree preferred.
  • Knowledge of hotel, restaurant, banquet, and catering operations.
  • Understanding of banquet facilities, including room setups, capacities, audiovisual equipment, and applicable safety requirements.
  • Knowledge of yield management and hospitality sales practices.
  • Proficiency with Microsoft Office applications.
  • Delphi FDC experience preferred.
  • Strong written and verbal communication skills.
  • Excellent attention to detail, organization, and follow-through.
  • Ability to manage multiple events, deadlines, and changing priorities.
  • Ability to perform effectively in a fast-paced environment and work well under pressure.
  • Ability to work independently with minimal supervision while collaborating effectively across departments.
  • Professional demeanor and commitment to providing a positive guest and client experience.

Work Environment

This is an on-site position in a fast-paced hotel and event environment. The Catering Services Manager works closely with Sales, Catering, Banquets, Culinary, Front Office, and other hotel departments to ensure successful events and a high level of service for clients and guests.

Job Type: Full-time

Pay: From $60,000.00 per year
