POSITION OVERVIEW
Hoffman Mechanical Solutions is looking for an experienced HR Generalist who is ready to own the employee relations function, contribute to a planned HCM system transition, and bring a forward-thinking, AI-savvy approach to every area of the job. This is a hands-on, high-ownership role with direct partnership with the HR Director and cross-functional teams, built for someone who thrives on variety, moves independently, and takes pride in getting the details right.
The ideal candidate combines strong technical HR knowledge with excellent interpersonal skills: the ability to build trust quickly and ensure employees and managers feel heard and supported, delivering a consistent, people-centered HR experience across the organization.
KEY AREAS OF RESPONSIBILITY
Employee Relations
• Serve as the primary HR point of contact for managers and employees, building trusted and credible relationships at every level of the organization
• Independently handle day-to-day employee relations matters, including policy questions, workplace concerns, performance discussions, and corrective action guidance
• Conduct initial fact-finding, investigations, and documentation for employee relations matters; escalate complex, sensitive, or high-risk situations to the HR Director
• Coach managers on performance management, difficult conversations, corrective action documentation, attendance accountability, and HR best practices
• Lead or support the annual performance review process
HCM Administration & System Transition
• Serve as a proficient working user of current HCM systems, supporting data integrity, employee record accuracy, reporting, and workflow management
• Leverage expertise in modern HCM platforms (e.g., Workday, UKG, Paylocity, Paycom, or Dayforce) to contribute to the organization's active HCM evaluation and selection process, with implementation to follow
• Participate in the evaluation, selection, and implementation of a new HCM platform, contributing to requirements gathering, process mapping, data migration planning, user acceptance testing, and change management
• Serve as a key stakeholder during system implementation; support training, communication, and adoption for managers and employees after launch
• Use HCM reporting capabilities to identify workforce insights, compliance gaps, and trend data for HR Director review
Special Projects & Strategic Initiatives
• Lead HR special projects as assigned, including policy development, process redesign, compliance remediation, program launches, and organizational initiatives
• Take full ownership of project timelines, deliverables, stakeholder communication, and status reporting for all assigned projects
• Contribute to HR process improvement efforts by identifying inefficiencies, recommending solutions, and helping build scalable HR infrastructure that supports business growth
AI Proficiency & Innovation
• Use AI tools to improve HR efficiency in areas such as document drafting, communications, workflow automation, reporting, and data analysis
• Research, test, and recommend AI-enabled HR tools that can improve team effectiveness, compliance documentation, and the employee experience
• Support HR team adoption of AI-powered platforms across HCM, ATS, onboarding, and HR operations functions
• Bring an innovation mindset to every area of responsibility, continuously identifying smarter and more effective ways to deliver HR services
Partnership with Talent Acquisition & Training and Development
• Work closely with the Talent Acquisition team on hiring-related HR matters, including onboarding coordination, job description accuracy, offer documentation, and new hire readiness
• Partner with the Training & Development team to identify performance gaps, training needs, and development opportunities for employees and managers
• Coordinate and support manager and leadership training sessions in partnership with the Training & Development team
• Support implementation of HR programs and tools designed to improve performance, engagement, and retention
• Support employee engagement initiatives, including engagement surveys, recognition programs, and company events
HR Compliance & Operations
• Ensure compliance with all applicable federal, state, and local employment laws, including FMLA, ADA, FLSA, EEO, I-9/E-Verify, and documentation standards
• Assist with HR audits, employment documentation reviews, and compliance reporting
• Create, update, and audit job descriptions to ensure accuracy, consistency, and regulatory compliance
• Support policy communication, handbook implementation, and manager education on policy application
• Coordinate leave of absence processes end-to-end, including documentation, employee communication, and return-to-work follow-through
• Manage the offboarding process, including exit interviews, final documentation, and coordination of separation logistics
• Respond to unemployment claims and participate in unemployment hearings as needed
• Collaborate with the HR Operations Coordinator to maintain accurate, complete, and audit-ready employee records across all systems and physical files
Benefits, Safety & Workers' Compensation Partnership
• Serve as a first point of contact for general employee benefits questions, partnering with the Benefits team for resolution and referring employees to the appropriate benefits resources
• Partner with the Benefits team on workers' compensation matters, supporting communication, documentation, and follow-through as needed
• Collaborate with the Safety team on injury reporting, incident follow-up, and return-to-work coordination
Compensation & Payroll Support
• Support compensation-related processes, including salary benchmarking, pay range maintenance, and merit cycle administration
• Coordinate with Payroll on employee changes, corrections, and status updates to ensure timely and accurate processing
• Collaborate with the HR Operations Coordinator to maintain accurate, complete, and audit-ready employee records across all systems and physical files
QUALIFICATIONS
Required
• Bachelor's degree in Human Resource Management, Business Administration, or a related field
• 5 or more years of progressive Human Resource Generalist experience with demonstrated employee relations ownership
• Working knowledge of employment law, including FMLA, ADA, FLSA, EEO, and I-9/E-Verify
• Experience with modern HCM platforms (e.g., Workday, UKG, Paylocity, Paycom, Dayforce, or similar); ADP Workforce Now experience a plus
• Demonstrated proficiency with AI tools in a professional setting (e.g., Microsoft Copilot, ChatGPT, or AI- assisted workflows)
• Project management experience with the ability to own timelines, manage deliverables, and communicate status independently
• Strong written and verbal communication skills with the ability to engage effectively with employees at all levels, including executive leadership
• Self-directed, solutions-oriented, and able to exercise sound independent judgment
Preferred
• SHRM-CP, SHRM-SCP, PHR, or SPHR certification, or active commitment to pursue certification
• Experience participating in or leading an HCM implementation, migration, or system upgrade
• Experience in a multi-entity or multi-site HR environment
• Background in the skilled trades, mechanical, HVAC/R, or construction industry
• HR analytics or workforce reporting experience
WORK ENVIRONMENT & TRAVEL
Work Setting: Standard office environment
Travel: Up to 20% travel required, including visits to company locations and field sites across the region
