Automotive Office & Parts Coordinator
HM Auto – Williamsburg, Iowa Area
Full-Time | Monday–Friday | 8:00 AM–4:30 PM | No Weekends
HM Auto is a family-owned automotive repair and auto body shop located just outside of Williamsburg, Iowa. We're looking for a full-time person to take care of the day-to-day office, customer, and parts side of our business.
Automotive knowledge is important for this position. We're not simply looking for a receptionist. We need someone who understands vehicles and can communicate with our technicians, customers, dealerships, parts stores, and other vendors while helping keep jobs organized and moving forward.
Responsibilities
- Communicate with technicians about parts needed, job status, and other job-related needs
- Look up, price, and order automotive parts
- Communicate with dealerships, parts stores, and other vendors
- Track ordered, backordered, and received parts
- Receive and verify incoming parts
- Handle parts returns and credits
- Keep track of shop inventory and supplies, including oil, filters, hardware, and other commonly used parts and consumables
- Reorder shop inventory and supplies as needed so commonly used items stay in stock
- Answer phones and communicate with customers
- Prepare estimates and invoices
- Schedule jobs and customer appointments
- Keep customer and vehicle information organized
- Maintain job information and notes in Tekmetric
- Receive payments and complete customer paperwork
- Help keep track of the status of vehicles and projects in the shop
- Help make sure information is communicated between the office and technicians
What We're Looking For
Automotive experience or a strong automotive background is preferred. Experience in an automotive repair shop, auto body shop, dealership, service department, or automotive parts department would be a great fit.
Experience with Tekmetric is a plus, but not required. We can teach the software. We'd rather find someone who understands cars, is organized, dependable, communicates well, and is willing to learn.
We're a smaller family-owned shop outside of town, not a high-pressure dealership or corporate environment. Some days are busy and some are slower. We're looking for someone who can take ownership of the office and parts side of the business and keep things organized without needing to be constantly supervised.
