Job Description
We are seeking a compassionate and detail-oriented Administrative Assistant to support daily operations at our addiction treatment center. This role serves as the first point of contact for clients, families, and partners, while also assisting with admissions, data management, and administrative functions.
The ideal candidate is organized, professional, and committed to providing a welcoming, trauma-informed experience for individuals seeking care.
Responsibilities:
Front Desk & Reception
- Greet clients, families, and visitors with professionalism and compassion
- Answer and route incoming calls; respond to inquiries
- Provide backup front desk coverage as needed
- Maintain visitor logs and assist with check-in procedures
- Ensure lobby/reception area is clean, safe, and welcoming
Administrative Support
- Scan, upload, and organize client records in electronic systems
- Perform accurate data entry and document management
- Assist with filing, reports, spreadsheets, and correspondence
- Maintain office supplies and coordinate administrative needs
Admissions & Intake
- Coordinate client admissions and intake documentation
- Assist clients with completing paperwork and obtaining signatures
- Enter demographic, insurance, and referral information
- Communicate with clinical staff on admission status
- Maintain strict confidentiality in compliance with HIPAA
General Office Support
- Support scheduling and administrative projects
- Assist with quality assurance and documentation accuracy
- Handle incoming/outgoing mail and deliveries
- Participate in team meetings and trainings
Qualifications
Education & Experience
- High school diploma or GED required
- Associate degree in related field preferred
- 1 year administrative, customer service, or healthcare experience preferred
- Behavioral health, addiction treatment, or nonprofit experience strongly preferred
Skills
- Strong interpersonal and customer service skills
- Ability to work with individuals facing substance use or behavioral health challenges
- Excellent organization and attention to detail
- Proficient in Microsoft Office and data systems
- Strong communication (written & verbal)
- Knowledge of HIPAA and confidentiality practices
- Commitment to trauma-informed, person-centered care
Schedule
- Part-time (approximately 20 hours/week)
- Primarily daytime hours with flexibility as needed
- May assist with coverage for staff time off
