Job Description
JOB SUMMARY
Historic Deerfield, a non-profit museum of American history and art in western Massachusetts,
seeks an Administrative Assistant. Working from the Flynt Center of Early New England Life,
the Administrative Assistant will provide office support for department heads in the Flynt Center
and the Museum Education and Interpretation Department. This part-time (20 hours per week)
position with a flexible schedule reports to the Director of Academic Programs. The hourly wage
for the Administrative Assistant position is $17.00.
CORE DUTIES
- Organize and schedule appointments and meetings and reserve meeting locations
- Carry out administrative duties such as filing, word-processing, copying, scanning, etc.
- Provide administrative and organizational support for programmatic activities in the curatorial,
- Monitor office supplies stock, determine optimal inventory level, and reorder as needed
- Process invoices for payment
- Oversee administrative and clerical aspects of staff recruitment process
- Generate reports when requested
- Monitor office equipment by completing preventive maintenance requirements; schedule repairs;
- Oversee Flynt Center van reservations, schedule preventive maintenance checks, schedule repairs
- Coordinate and communicate building procedures in the Flynt Center
- Handle sensitive information in a confidential manner
- Other duties as assigned
KNOWLEDGE, SKILLS, AND ABILITIES
- Associate’s Degree or other relevant training
- 2-3 years experience in an office environment preferred
- Proficiency with Microsoft Office Suite
- Ability to work both independently and collaboratively
- Ability to take direction and complete assignments
- Ability to follow established museum procedures and protocols

PHYSICAL REQUIREMENTS*
- Sitting and standing for prolonged periods indoors
- Ability to go up and down stairs with ease
- Ability to lift and move up to 25 pounds

WORKING CONDITIONS
- Work is performed primarily in an office in a high-security environment
- Travel on campus to departments/buildings and to local off-campus locations
