Position Summary
The Interpretations Coordinator plays a critical role in ensuring the efficient operation of the Hispanic Center of Western Michigan’s language services. Reporting to the Language Services Manager, this position oversees the coordination and scheduling of interpretation services, supports interpreter recruitment, and provides excellent customer service to clients and contractors. The Interpretations Coordinator also handles administrative tasks, conflict resolution, and after-hours coordination to ensure seamless service delivery.
Responsibilities
- Manage interpretation requests received via phone and email, ensuring timely and accurate data entry into scheduling systems.
- Schedule daily interpretation assignments to meet client needs.
- Provide after-hours interpretation phone coordination, including evenings and weekends, to address urgent requests and ensure uninterrupted services.
- Facilitate conference calls between parties requiring interpretation services.
- Regularly review and revise interpretation appointments for accuracy and efficiency.
- Communicate with clients via phone and email to provide quotes, confirm appointments, and address inquiries.
- Develop and maintain strong customer relationships to ensure satisfaction and repeat business.
- Address and resolve conflicts, complaints, and performance appraisals related to interpreters.
- Assist in the assessment, recruitment, and onboarding of new interpreters.
- Process invoices for billing and payments, ensuring timely and accurate transactions.
- Enter and maintain interpreter and customer rates in interpretation scheduling software.
- Collaborate with the accounting and finance department on aged accounts receivables and reimbursement requests.
- Produce reports and maintain organized records of interpretation activities.
- Train and oversee interns or temporary staff as needed.
- Assist the Language Services Manager with special projects and operational coordination.
- Perform general clerical tasks, including copying, faxing, mailing, and filing.
- Perform other duties as assigned and work occasional evenings and weekends as needed.
Required Qualifications
- Associate degree in Spanish, Business, Humanities, or a related field required; Bachelor’s degree preferred.
- Minimum of 2 years of professional experience in interpretation or language services.
- Bilingual in Spanish and English (oral and written), with excellent grammar and language skills.
- Strong proficiency in Microsoft Office Suite and experience with interpretation scheduling software.
- Proven ability to manage multiple tasks and projects simultaneously under tight deadlines.
- Exceptional communication and interpersonal skills to build positive relationships with clients and contractors.
- Ability to manage after-hours and weekend interpretation phone coordination, ensuring prompt responses to urgent requests.
- Highly organized, detail-oriented, and proactive in addressing challenges.

Job Type: Full-time
Pay: $19.00 - $21.00 per hour
