Job Summary
The Human Resources Assistant will assist in the recruitment, absence management, and other administrative efforts for the company. The HR Assistant supports Human Resources processes by managing administrative tasks, coordinating with candidates, and maintaining candidate and employee databases.
Shift: Tuesday, Wednesday, and Thursday, 8:45am – 5:15pm – 24 hours per week
Essential Job Functions:
- Review resumes for non-negotiable requirements such as security clearance levels, licenses and certifications, or years of relevant experience
- Identify candidates who meet position requirements to move forward in the recruitment process
- Schedule phone screens between candidates and HR Specialist
- Eventually conduct basic independent phone screens
- Schedule interviews between Project Managers, HR, and candidates
- Find unique locations to post positions (such as trade schools, community colleges, trade/ professional associations)
- Research free sources for posting as well as gather cost information for paid sources
- Find and verify correct points of contact for each location
- Maintain positive relationships with these sources
- Respond to staffing agencies sales emails/ phone calls to gather further information about fees, costs, staffing models, etc.
- Save resumes and interview documents into employee files on file management system
- Save updated job descriptions into electronic file management system
- Audit and update Recruitment folders to ensure all interview notes, shortlisting grids, resumes, etc. and accurately saved and information captured.
- Run system reports on employee absences. Follow-up with managers on employee absences and ensure all required supporting documentation is obtained and on file
- Maintain accurate records.
- Other duties as assigned.
Required Skills, Experience, and Education
- High School Diploma or Equivalent
- Associates or Bachelors Degree in relevant field, preferred
- Minimum of one year of experience in relevant field such as Human Resources, Staffing, Talent Aquisition or related, preferred
- Previous experience with Applicant Tracking Systems, preferred
- Ability to use independent judgement to select candidates
- Ability to time manage
- Excellent interpersonal and communication skills
- Ability to follow directions, both written and verbal
- Ability to work both independently and as a team
- Excellent record keeping and data management skills
Pay: $20.00 - $22.00 per hour
Work Location: In person
