Executive Assistant

We are looking for someone who can keep up, stay organized, and make things happen.

We are looking for a polished, personable, highly organized Executive Assistant to work closely with our executive team. This is a hands-on position with a lot of variety. You may be managing a calendar one minute, coordinating travel or an event the next, and helping with an invoice, report, or special project later in the day.

The right person is professional, dependable, resourceful, and genuinely enjoys helping others. You should be comfortable working independently, able to handle confidential information, and willing to jump in wherever needed. Most importantly, we’re looking for someone who takes ownership, follows through, and can anticipate what needs to happen next.

What You’ll Do

  • Manage calendars, schedules, meetings, and appointments for the executive team
  • Coordinate business travel, itineraries, accommodations, and logistics
  • Answer phones and handle correspondence professionally and courteously
  • Serve as a liaison between the executive team and operational team, helping keep communication clear and priorities on track
  • Prepare executives for meetings by gathering agendas, documents, reports, and other materials
  • Draft routine emails, correspondence, letters, and other communications
  • Assist with expenses, invoices, receipts, basic accounting tasks, and recordkeeping
  • Assist with compliance requirements and state and federal filings
  • Organize and analyze information and prepare reports, spreadsheets, and presentations
  • Assist with marketing, presentations, communications, and other business materials
  • Help with special projects and business initiatives
  • Plan and coordinate meetings and events from start to finish, including invitations, vendors, logistics, and on-site support
  • Run errands and handle various administrative and operational tasks
  • Travel occasionally for business meetings, events, or other company needs
  • Handle confidential and sensitive information with discretion
  • Keep track of deadlines, commitments, and follow-ups and make sure things get done
  • Anticipate needs, identify potential issues, and take care of things before they become problems
  • Help manage communications, requests, scheduling, and priorities on behalf of the executive team
  • Do whatever is needed to help the executive team and the business run smoothly

What We’re Looking For

  • Bachelor’s degree required
  • Previous executive assistant, administrative, operations, or similar experience preferred
  • Excellent verbal and written communication skills
  • Polished, professional, personable, and comfortable interacting with a wide range of people
  • Highly organized with strong attention to detail
  • Good judgment and the ability to handle confidential information appropriately
  • Able to work independently and manage multiple priorities
  • Strong computer, spreadsheet, and presentation skills
  • Resourceful, proactive, and comfortable figuring things out
  • Positive, dependable, and service-minded
  • Willingness to travel occasionally for business or events

Compensation

Pay commensurate with experience and qualifications.

Why This Role?

This is a great opportunity for someone who wants to be more than an administrative assistant. You’ll work closely with the executive team, have exposure to many areas of the business, and play an important role in keeping things organized and moving forward.

We are looking for someone who takes pride in their work and wants to become a trusted and valued member of the team. If you are the type of person who notices what needs to be done, follows through, enjoys helping others, and can handle the unexpected, we would love to hear from you.
