Hip-Hop Healing Institute (HHHI) is a culturally grounded behavioral health and workforce development ecosystem built to convert public funding into community outcomes—through clinical partnerships, peer support, apprenticeships, and operational systems that scale.
HHHI is seeking a contract Operations Coordinator to help execute our Peaceful Workforce Development work—supporting cohort launches, partner coordination, operations tracking, and grant/contract compliance. This is a hybrid role in Greenville, NC, with flexibility to work remotely for documentation, scheduling, reporting, and back-office coordination.
This role is ideal for someone who can bring order to moving parts: people, schedules, deliverables, compliance, and communication—without needing hand-holding.
Key Responsibilities
Cohort & Workforce Operations
• Coordinate cohort schedules, onboarding, attendance tracking, and completion reporting (including consent workflows where applicable). 
• Support workforce pipeline coordination (apprenticeships, peer advancement, placement readiness) aligned with HHHI’s “client-to-healer” pathway. 
Administrative & Systems Management
• Maintain operational trackers, documentation workflows, and internal dashboards (Airtable/Google Workspace, etc.). 
• Coordinate meetings and communications across internal teams and external partners (clinics, training vendors, outreach leads). 
Compliance, Reporting, and Payment Support
• Prepare contract deliverables, grant-ready documentation, and audit-friendly records.
• Support invoicing workflows and deliverable acceptance tracking.
• Operate within HHHI’s compliance approach (fixed-fee service support; no percentage-based referral/claim arrangements). 
Contract Terms
• Engagement Type: Contract (1099)
• Location: Hybrid – Greenville, NC (remote-flex for admin tasks)
• Payment Timing (Transparency): This role supports grant/contract-funded work. Payments are issued Net-30 after the contract deliverable is completed and accepted (i.e., payout occurs ~30 days after completion), due to funder reimbursement cycles.
Qualifications
• Strong operations coordination experience (workforce, education, community programs, healthcare ops, or similar)
• Highly organized; strong follow-through; excellent written communication
• Comfortable with scheduling, documentation workflows, stakeholder coordination, and process improvement
• Proficiency with modern productivity tools (Google Workspace; Airtable preferred; Zoom/Calendly workflows a plus). 
• Able to work independently and keep sensitive information handled appropriately (operational professionalism)
Preferred
• Experience supporting workforce cohorts, grant-funded programs, compliance reporting, or vendor coordination
• Familiarity with behavioral health / peer-support ecosystem models (even if non-clinical)
