Development & Communications Coordinator
Position Summary
The Development & Communications Coordinator provides essential administrative, data, and communications support to advance the mission of Hinton Rural Life Center. Working closely with the Director of Communications & Development, this position ensures accurate donor and constituent records, timely acknowledgments, clear and consistent written communications, and strong connections within United Methodist Church networks. The Coordinator plays a critical role in stewarding relationships through excellence in organization, follow-through, and ministry-centered communication. (Note: Drug-Free Workplace).
Essential Functions:
Donor Tracking, Analysis, and Stewardship Support
- Maintain accurate and up-to-date donor, sponsor, and constituent records in the Salesforce database.
- Track gifts, pledges, campaign commitments, and donor engagement activity to support fundraising and stewardship efforts.
- Generate donor reports and basic analysis to support appeals, grant reporting, and leadership decision-making.
- Prepare timely and accurate donor acknowledgment letters, tax receipts, and recognition materials, ensuring appropriate tone, personalization, and alignment with Hinton’s mission and United Methodist identity.
- Assist with donor segmentation and list preparation for mailings, emails, and campaigns, including procuring supplies and preparing labels.
Salesforce & Data Management
- Serve as a primary administrator for Salesforce data entry, maintenance, and quality control.
- Ensure consistency, accuracy, and confidentiality of donor, volunteer, church, and partner records.
- Support appeal mailings and communications by preparing data exports, lists, and reports.
- In conjunction with IT Specialist, troubleshoot basic Salesforce issues and coordinate with vendors or consultants as needed.
- Document data processes and contribute to improved systems and workflows.
Communications & Editing Support
- Edit and proofread written materials including donor letters, newsletters, grant narratives, press releases, emails, and internal documents for clarity, tone, grammar, and brand consistency.
- Assist in drafting routine communications and correspondence as assigned.
- Support content updates for digital and print communications by ensuring accuracy, consistency, and alignment with approved messaging.
- Maintain document templates and style guidelines to support consistent communications across the organization.
United Methodist Church Network Engagement
- Maintain and update contact lists for United Methodist churches, conferences, clergy, and related ministry partners. (Updating as needed and especially during appointment season in July each year.)
- Support communications and outreach to United Methodist networks, including annual reports (typically, February-April) to annual conferences meeting deadlines and formatting requirements.
- Assist with tracking church engagement, visits, donations, and partnerships within Salesforce.
Administrative & Team Support
- Provide administrative support for development and communications initiatives, including scheduling, document preparation, and coordination with volunteers as needed.
- Support donor, volunteer, and partner communications with professionalism, warmth, and attention to detail.
- Maintain updated records of volunteers, liability releases, and volunteer hour records.
- Assist with preparation for fundraising events, donor meetings, and leadership initiatives.
- Uphold Hinton’s mission, values, and hospitality-centered culture in all interactions.
- Travel with Director to marketing events helping to staff the booth, distribute information, etc.
Secondary Functions:
· Support Hinton-led programming and special events, particularly those engaging guests, donors, and ministry partners.
· Provide occasional hospitality support, such as answering phones, greeting guests, or assisting during peak times and events.
· Serve as a back-up for colleagues during absences or periods of overlapping responsibilities, fostering a collaborative team environment.
· Participate as a member of the Safety Teams, completing monthly training and promoting a safe work environment.
Qualifications
- Associate’s or Bachelor’s degree preferred; relevant experience may substitute.
- Experience with donor databases or CRM systems; Salesforce experience strongly preferred.
- Strong attention to detail and commitment to data accuracy.
- Excellent writing, editing, and proofreading skills.
- Comfort working with numbers, reports, and basic data analysis.
- Familiarity with or openness to learning United Methodist Church structures and networks.
- Ability to manage multiple tasks, meet deadlines, and maintain confidentiality.
- Strong organizational skills and follow-through.
