Job Title: Paralegal – Real Estate and Estate Planning

As we continue to grow, we are seeking a highly capable, detail-oriented paralegal to provide operational and legal support within our multidisciplinary practice.
Position Overview
The ideal candidate will be an experienced, tech-savvy legal professional who can operate efficiently and independently in a fast-paced, small firm environment. This position requires fluency in legal document preparation, case and property file management, and client communications across a diverse portfolio of legal matters. The paralegal will support both attorney-led work and independent administrative processes, requiring sound judgment, discretion, and initiative.
Key Responsibilities
Estate Planning & Legal Document Preparation
- Draft, revise, and finalize estate planning documents including wills, trusts, powers of attorney, advance directives, and related instruments
- Coordinate execution and notarization of legal documents with clients
- Manage matter timelines, maintain legal files, and ensure deadlines are met
- Organize client meetings, maintain accurate case notes, and prepare intake questionnaires and intake summaries for attorney review
Real Estate & Transactional Support
- Draft and review real estate closing documents, including deeds, settlement statements, pay off letters, and disclosures
- Coordinate with title companies, lenders, and brokers to ensure smooth closing processes
- Conduct preliminary title reviews and manage document filings with county agencies
- Maintain accurate transaction logs and escrow documentation
Immigration Case Support
- Draft immigration petitions and applications (e.g., naturalization, family-based petitions, counselor processing)
- Prepare supporting documentation packets and submit filings.
- Track status updates, Request for Evidence (RFE) responses, and USCIS notices
- Maintain compliance with INA, as well as USCIS and Department of Homeland Security procedural requirements
Property Management & Operational Support
- Assist with property lease agreements, tenant onboarding, lease renewals, and compliance documentation
- Serve as liaison for tenants and vendors regarding property maintenance, payments, and disputes
- Monitor rental income, maintenance expenses, and generate financial summaries using QuickBooks
- Maintain organized records for each property including service logs, legal notices, and correspondence
Administrative, Software & Client Service Responsibilities
- Manage client data collection and intake through Decision Vault and similar platforms
- Distribute firm communications, client updates, and marketing campaigns via Mailchimp
- Utilize QuickBooks for invoicing, expense tracking, and reconciliation
- Work within legal software platforms including WealthCounsel, LEAP, Fidelity Desktop, and Adobe Acrobat to draft, manage, and archive legal files
- Ensure data accuracy, confidentiality, and regulatory compliance at all times
- Provide general administrative assistance including calendaring, document scanning, client communication, and file organization
Qualifications
Required:
- Bachelor’s degree or Paralegal certificate with experience in legal or related field
- Minimum 2 years of professional experience in a legal or property management setting
- Demonstrated proficiency with:
- Microsoft Office Suite (Word, Excel, Outlook)
- Adobe Acrobat
- QuickBooks
- Mailchimp

- Prior experience with:
