Key Responsibilities
1. Onboarding & Administrative
- Owner Success: Lead the onboarding of new owners into the Buildium platform and proactively follow up to ensure all legal and financial documents are secured.
- Team Leadership: Manage our remote assistant, leading weekly meetings to track tasks, provide updates, and ensure workflow consistency.
- Communication: Serve as the primary point of contact for owner and tenant inquiries, providing professional and timely support.
- Executive Support: Assist the Broker with specialized tasks and general office coordination.
2. Leasing & Tenant Management
- Marketing: Draft compelling rental ads and syndicate them across platforms like Zillow and Trulia.
- Showing Management: Oversee the Showmojo platform to set calendar schedule for in-person showings, update listings, and analyze performance reports.
- Screening: Process applications, manage pet screenings, and conduct thorough employment and rental history verifications.
- Documentation: Draft lease agreements and renewal contracts; onboard all new tenants into Buildium.
- Financials: Maintain the tenant ledger, accurately adjusting for late fees, credits, and payments.
3. Maintenance & Property Cycles
- Work Orders: Promptly address maintenance tickets, coordinate repairs between tenants and vendors, and upload completed bills to Buildium.
- Turnover Coordination: Manage the move-in/move-out process, including scheduling cleaning/repairs to get properties "list-ready."
- Security Deposits: Process deposit returns and issue formal security deposit statements to outgoing tenants.
Qualifications & Skills
- Communication: Excellent written and verbal communication skills; you can be firm yet professional.
- Technical Proficiency: Strong skills in Microsoft Word, Excel, PDF editors, and Google Workspace (Docs/Sheets).
- Software (Plus): Experience with Buildium or Showmojo is a significant advantage, but we will train a quick learner.
- Character: High level of integrity and "utmost care" when handling confidential client information.
- Organization: A natural ability to prioritize tasks and meet deadlines. Highly organized and detail oriented.
