- Answer multi-line phone systems promptly and courteously, directing calls accurately to the appropriate departments or personnel.
- Manage appointment scheduling and calendar coordination using tools like Google Workspace or Microsoft Office.
- Handle data entry, filing, and record keeping with precision, ensuring all documents are organized and up-to-date.
- Support office management tasks such as supply inventory, mail distribution, and maintaining cleanliness of the reception area.
- Assist with clerical duties including proofreading documents, managing correspondence, and preparing reports.
- Provide excellent customer support by addressing inquiries efficiently and maintaining positive communication at all times.
Skills
- Experience in PEP and Kipsu
- Proven experience in office management or administrative support roles with strong organizational skills.
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Familiarity with QuickBooks or bookkeeping is a plus for handling basic financial tasks.
- Strong phone etiquette skills with experience managing multi-line phone systems.
