High School Guidance Secretary- TEMPORARY-remainder of SY25-26 - Hillsboro-Deering High School
Title: Guidance Secretary
Qualifications:
1. Secretarial experience preferred
2. Computer experience preferred
3. A high school diploma as a minimum qualification. College degree preferred.
Reports To:Building Principal and/or Designee
Supervises: none
Job Goal:
To provide a well-organized and efficient guidance office for the benefits of students, staff and the public
Performance Responsibilities:
1.Perform routine receptionist and secretarial duties such as:
a.Greeting people who enter the office
b.Answer guidance phone/route messages and calls
c.Sorting and processing all in-coming and outgoing correspondence
d.Assist with registration of new students
e.Manage and update student information system and all student databases
f.Update and organization of all student records including mailing and update of all transcripts
g.Assist with photocopying and filing as needed by Guidance office
h.Assist in setting up student college profile/recruiting
i.Assist with creation of program of studies
j.Assist in developing the master schedule with Building Principal or Designee
k.Assist with summer school registration, classes, teachers, record-keeping and room assignments
l.Assist with grade reporting, run and check all report cards
m.Assist with progress reports, including bi-weekly reports
n.Responsible for all high school state reports and enrollment reporting for district (real-time entry/withdrawal, BOY and EOY) and District reports as required
o.Order and organization of all graduation needs – (cap & gown, diplomas, staging, programs, sound systems, tents, etc…)
p.Morning and afternoon announcements
q.Track Community Service Learning hours (recording hours, filing forms, recording hours on report cards)
r. Issuing and filing working papers, as well as mailing a copy to the state
s.Maintain bulletin boards for Guidance
t.Maintain Honor Roll and organize Academic Awards Night
u.Any other related tasks requested by the Principal and/or Designee
2.All of the above jobs should be done in a timely and organized manner.
Working Environment:
The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. Generally the job requires 50% sitting, 25% walking, and 25% standing. The job is performed under conditions with some exposure to risk of injury and/or illness.
Evaluation: Annual Evaluation completed by immediate supervisor
Contract: 260 days
